An Oxford University department are looking for a dynamic individual to join their department and become the friendly face at their reception desk.
- **Duties**:

- Act as a first point of contact, welcome students and visitors to the department and aid as necessary, including directing them to the appropriate area, dealing with queries and making travel and accommodation arrangements.
- Take incoming phone calls and monitor the enquiries inbox, answering queries and redirecting them appropriately.
- Provide general administrative support.
- Receive and log deliveries and courier mail, sort outgoing mail for the University messenger and assisting staff in organising couriers as requested.
- Support the Facilities Officer with resolving any security or building issues including contacting University Security Services or Estates when necessary and logging maintenance and repair jobs on the system.
- Work with the Administrative Assistant to support day-to-day operations of the departmental library.
- Assist the Events Officer by welcoming guests for events and helping to set up catering if required.
- Assisting the Departmental Committee Secretary in drafting the agenda and taking notes and meetings once a term during term time.

**Selection Criteria**
- A good understanding of standard administrative procedures, evidenced by formal secretarial/administrative qualifications (for example NVQ Level 2 Business Administration or RSA Diploma) and/or work experience at a similar level.
- Experience in a customer facing position.
- Good oral and written communication skills including accurate typing skills, and ability to professionally handle telephone enquiries.
- Ability to use standard computer programs (Outlook, Word, Excel).
- Attention to detail and high level of accuracy.- Person specification- e
