**JOB DESCRIPTION for Accounts Clerk**
**Post: Accounts Clerk**
**Employer: The Institute of Our Lady of Mercy**
**Responsible to: School Business Manager**
**General Duties**
**Key Tasks**
The job description does not form part of the contract of employment and may be varied in accordance with the demands of the role.
The main duties and responsibilities are as follows:
Invoices
- Creating accurate invoices for parents for billable items
- Allocating payments received accurately to these invoices
- Reviewing outstanding invoices and highlighting these to the School Business Manager
Expenditure
- Process incoming invoices due for payment. Scan and process the details of each transaction as per current procedures on to Dext.
- Cross reference statements and ensure all invoices are accurately recorded
- Prepare guidance on when bills are due for payment
Bank Statements
- Upload bank statements to accounts program Xero
- Reconcile payments on Xero accurately
Office support
- Answer the phone, filing and dealing with enquiries from creditors or parents.
**Personal Development**
- Take responsibility for ensuring that your skills and knowledge are up to date and attend relevant training courses, including mandatory training and other training specific to the post
- Attend and actively participate in supervisions and appraisals with your line manager
- Discuss any areas where additional support is required with your line manager
**General**
- Be familiar with and adhere to the School’s policies and procedures in relation to your work to ensure that high standards of quality and good practice are maintained, developed and monitored. Be familiar with local and Institute procedures in respect of safeguarding and reporting abuse
- Ensure all reasonable precautions are taken to protect the safety and welfare of the children, staff and visitors. Including following guidelines in respect of Health & Safety and Fire safety and evacuation. Report all incidents and potential hazards
- Ensure all people are treated with respect, compassion, hospitality, justice and trust in the course of your work, thereby promoting the Institute’s core values and mission of equal opportunities through anti discriminatory practice
- Always maintain confidentiality in accordance with GDPR requirements. (Information concerning children and staff, their conditions and affairs is strictly confidential and must not be disclosed to any unauthorised persons). Failure to maintain confidentiality could result in disciplinary action
- The post holder will be expected to accommodate reasonable flexibility and carry out any additional duties necessary to ensure the needs of the School are met
