Job Purpose
This role will play a significant part in assisting both the Site Manager and the Brand HR Manager to insure there is a professional approach and an excellent experience for colleagues at the site/s whether new starters or long term colleagues.
The aim is to make the site/s a 'Great Place to Work' and main focus is to enhance all people related activities.
Reporting into the continuous improvement team will allow for assistance with consistency and improvements across sites and OSS division.
Knowledge, Skills, Qualifications, and Experience Required
Essential
- Maths and English GCSE or relevant experience
- Previous administration experience
- Excellent telephone technique
- Excellent communication skills, both written and spoken
- Excellent administration skills, especially accuracy with figures, accurate data input, efficient filing systems, etc
- Good computer keyboard skills and understanding of computers, (Word, Excel & Outlook an advantage)
- Use of PeopleSoft HR/Payroll system an advantage however training will be provided
- Ability use and take initiative, must be able to work on own initiative, be self-motivating and able to work as part of a team
- A concise and organised individual with good customer service skills
- Ability and willingness to learn and create new ways of working
- Highly confidential individual with a high level of organisational, administrative and clerical skills, as well as excellent communication, approachable and interpersonal approach
- Even tempered, sensitive and empathic in nature
- Thorough attention to detail
- Flexibility and openness to change
- Resourcefulness and excellent time management skills
- Knowledge of human resources procedures (an advantage), as you will be required to enter information on systems
**Requirements**:
Responsibilities *
Be the go to person on site to assist colleagues accessing people systems such as BUBBLE, MOOV and PeopleSoft (company systems)
- Help the division promote the use of SG benefits and initiatives including ensuring up to date promotional material is advertised across the site/s
- Assist management with recruitment agencies, local communities and staff (refer a friend) to recruit operational staff
- Where required assist with the setting up of interviews / note taking
- Assist with management of temporary recruitment agency spend (raising PO's for salaries)
- Willingness to learn basic knowledge of the industry the company works in and our products and services we sell to help establish relationships with the work force
- Own the role of making your site aware of the benefits of inclusivity and diversity. Wherever possible make this a reality by recruiting differently
- Bring life into the site by engaging with colleagues on both SG initiatives and fun social initiatives to build a positive work culture
- Complete inductions including helping arrange dairies of other colleagues for new starters to meet along with any required site visits
- Assist with creation of individual training plans and monitor progress
- Ensure site colleagues have diarised with their line manager's probationary reviews at defined periods and send copies to the HR Administrator
- Assist in managing on-boarding through PeopleSoft / Moov for all staff
- Assist with ensuring all colleagues have up to date job descriptions and work with site manager and HRM if updates are required
- Assist HRM diary management for site people/talent reviews
- When required, perform exit interviews and analysing trends to make recruitment more efficient and share data with HRM
- Be the eyes and ears for the Site Manager and HR Manager in relation to any people issues that you feel need their attention. Key Results Areas
- Staff retention (what percentage of new hires leave within the first year)
- Through providing a positive experience, increase the colleague engagement and net promoter scores in future surveys
- Keeping the employee survey 'action plans' results alive on site and ensuring items are addressed and closed off
- Vacancies (Number off, time to fill, acceptance rate)
