We are looking for a cheerful, conscientious and adaptable person to join our team to train to provide clerical support as an apprentice including reception, booking administration, typing duties in the Haematology Clinic and clinic preparation in the Oncology department.

This is a full time post of 37.5 hours a week. A proportion of time will be spent with a training provider studying towards the Level 2 or 3 Business Administration Apprenticeship. The post holder will be expected to complete the Business Administration apprenticeship.

Applicants should be keen to develop excellent communication skills, be self-motivated and able to make full use of the computer systems after training. You would be joining a dedicated administrative team that supports patient care. You will develop skills to be able to work in a calm, logical and methodical way but be able to multi-task whilst dealing with frequent interruptions, and you must possess effective communication skills.

You should have good keyboard skills. The successful post holders will be expected to cover colleagues in times of sickness and annual leave. Full training will be given on IT systems.

To welcome patients and visitors to the Haematology Clinic with understanding and empathy.

To update the Patient Administration System (PAS) and Aria as required following Trust policy and procedure ensuring accuracy of patient demographics.

To answer the telephone in accordance with Haematology procedures.

To ensure patient Attendances, Outcomes, Referral to Treatment (RTT) and Procedure codes are recorded accurately and in a timely manner on PAS in line with Trust policies and procedures.

To type for the medical team.

To complete schedules of clinic preparation to support the Oncology consultants.

Sustainability is integral to the Trust achieving the NHS Net Zero target. All staff are therefore actively encouraged and supported to implement new ways of working within their field of expertise.

To use the hospital computer systems to book appointments for patients with clinicians and other health care professionals using knowledge of Oncology to book patients into the correct appointment slot follow-up or new (based on training and experience).

To provide the patient with the most appropriate appointment, having considered their individual needs and circumstances, as well as waiting times and targets.

To ensure that on arrival at outpatient clinic, patients are booked in correctly on the appointment systems, including planned and emergency patients. Notifying appropriate staff members of the patient’s arrival and that the hospital notes in certain areas are passed through to correct clinic nurse.

Admit and discharge patients onto the PAS following set procedures and according to Trust policy.

To ensure that Attendances, Outcomes and RTT codes from patient’s clinic attendance are accurately recorded and patients informed of future appointments if required.

Preparation of clinics for next day, ensuring all relevant information is included in the notes, raising a temporary folder where required and is in the format required by the Trust and Health Records policies.

To request hospital case notes (where required) from both within the Trust and outside Trusts using PAS.

To ensure patient confidentiality is always maintained, in accordance with Trust policy

To ensure follow up patients are booked accurately and to be seen by date from the follow up waiting list

Admit and discharge patients onto the PAS following set procedures and according to Trust policy.

To provide a welcoming and efficient service to patients, carers and visitors at the Sunrise Centre in line with Trust procedures.

To type clinical letters for the medical team.
