Job Title: PA and Admin Lead (Business Support 04 (B04))

Department: Medicinal Sciences (MedSci)

**Job Description**:
To independently provide a range of administrative support to the Medicinal Sciences (MedSci) group through the admin shared service model to include support to extended Leadership Team (eLT) member(s). To lead and coordinate the admin team to identify and implement processes, best practices and standards.

**Responsibilities**:
- Provide full administrative support to designated eLT member(s)- Provide full support to designated eLT member(s) Leadership Team meetings e.g. agenda setting, action tracking, meeting participation, etc- Provide generic administrative support to wider MedSci community at Sandwich, on rotational basis via the MedSci UK Admin CoE- Provides direction and coordination to the Med Sci admin team including managing the workload for the group, developing training and development plans for the team, and coordinating the roles and goals for the team- Proactively manage calendar for designated eLT member(s), anticipating conflicts, filtering, prioritising and using diplomacy to resolve problems- Local and Global travel arrangements, including preparation of itineraries, documentation and organising visas- Provide general departmental administration e.g. organisational charts, distribution lists, etc- Assist with meeting planning and logistics e.g. internal/external, onsite/offsite, local/ international, etc- Preparation and expense management for eLT member(s)- General administrative duties e.g. photocopying, scanning, post distribution, etc- Sending documents via courier and tracking- Electronic filing of documentation e.g. SharePoint repository- Provide assistance to ensure general departmental efficiency and on projects to improve departmental performance and guide on initiatives to improve and maintain departmental administration- Provide assistance with projects and activities which require exposure to sensitive and confidential information e.g. goals, organisational changes, personnel related, etc- Budget management- Preparing, editing and formatting of documentation e.g. correspondence, presentations, etc- Design and/or maintenance of SharePoint site(s)- Design and/or maintenance of Teams site(s)- Provide support (and lead where appropriate) to a variety of cross-line, local and global projects and initiatives- To lead and share best practice and learning across the MedSci UK Admin CoE- Use of internal financial systems to raise orders, process payments and assist with associated queries- To assist recruitment campaigns

Essential Skills and Experience- Previous comprehensive administrative experience to include executive administrative support e.g. managing complex diaries, leadership team support, etc- Independently uses own judgement to efficiently deal with numerous high priority and complex demands from multiple eLT members- Knowledge and comprehension of Microsoft including Outlook, Word, PowerPoint and Excel- Project management skills, dealing with highly demanding tasks often to tight deadlines working within broad guidelines and with limited supervision- Must be proactive and demonstrate ability to multi-task, prioritise work and manage own time, working autonomously within established procedures and practices- Assertive and resilient, being confident in evaluating information and making decisions- Ability to use initiative, working without close supervision and seeing tasks through to completion whilst paying close attention to detail- Highly approachable with the ability to work independently and effectively as part of a team- Solution orientated looking for ways to add value, assist the team and eLT member(s)- Strong stakeholder management skills required to develop effective relationships at all levels across the business, internally and externally- Ability to act as a point of contact and communication channel for internal and external stakeholders- Demonstrate positive and helpful demeanour- Be passionate, helpful, motivated, reliable and hard working- Remains calm when under pressure and is comfortable working in a fast-paced environment- Discretion and the ability to work with sensitive and confidential information

Desired Skills and Experience- Experience of working in a support role in a global environment- Has comprehensive knowledge and key skills within assigned are- Competence with Pfizer computer systems, including ARIBA, SharePoint, Pfizer Travel and Expenses (PT&E), WebEx, Teams
