Norwich Community Therapy Team are looking for a friendly, motivated individual to work with us in a new Allocator role

We are a team of Occupational Therapists, Physiotherapists, Community Assistant Practitioners and Therapy Assistants working in the Community and also providing Therapy support to Alder ward inpatient unit at Norwich Community Hospital. Managed by a small team of Clinical Lead Therapists, the role will both support the Leads and the team in their day to day work.

The base is Norwich Community Hospital. We do have staff based at Thorpe Health centre and there may a requirement to visit as and when needed.

The role will entail booking appointments for patients, changing and adapting ledgers for the team, supporting with clinics, completing audits, taking meeting minutes, amongst many other duties.

Main Duties & Responsibilities
1. To undertake a safe and efficient allocation service. To send letters to patients. To allocate patient appointments for the Community Therapy clinicians whilst utilising relevant data to include geography, skill mix and staffing levels. To discharge patients from the awaiting triage holding list who have made no contact with the service following receipt of a letter.

1. To assist therapy team in ledger management, including putting on ledgers and amendments to ledgers, booking clinic appointments and sending letters to communicate these appointments, marking when someone on leave.

1. To assist therapy team in Clinic management, including booking clinic rooms.

1. To assist therapy team in waiting list management, including ensuring uniformity / standard of notes across lists and actioning any straightforward admin messages on messages list, such as tasking a clinician or moving a referral onto the correct waiting list in response to a letter.

1. To check status of therapy equipment orders and keep patient and waiting list notes updated in this regard.

1. To complete daily caseload audits and communicate any anomalies to the clinical team via the messages waiting list on SystmOne. To check each patient record to ensure the patient is on the correct caseload, and either allocated to a clinical staffmember or on a waiting list.

1. To complete data quality audits to check each patient record for information against our KPIs and targets, following set instructions.

1. To demonstrate good customer care and communication skills when communicating with the public and health / social care professionals.

1. To recognise the diverse needs and individuality of service users and demonstrate the ability to act with tact and diplomacy.

1. To demonstrate knowledge of available automated facilities for receiving referrals, finding and checking patient information and storage of information in accordance with policies and procedures.

1. Production of clinical summaries, reports, letters, forms, notices and minutes of meetings as necessary.
