Job Title: Administration Assistant (Temporary post)

Location: Backwell School

Salary Range: JG2 £22,737 - £23,114 FTE (pro rata £10,607 - £10,786)
4.0 hours per day between 9:00am to 2:15pm

Reports To: Student Services Office Manager

Job Purpose

Working under the general direction of the Student Services Office Manager, undertake a range of clerical duties which support the management of the school in an effective and positive manner.

To act as an integral part of the school staff team, and as such to make a contribution to the overall aims of the school, working within agreed policies and procedures.

Main Responsibilities and Duties

Support for the Student Services Office
- Working under the general direction of the Student Services Office Manager, to provide day to day support to Student Services and act as receptionist, when required for students, staff and parents. Providing information or referring enquiries to other members of staff, as appropriate. Receiving and forwarding deliveries from parents for students.
- To enter student data onto SIMS, the school’s information system - ensuring data is updated and accurate at all times, running reports and printing class lists.
- Undertake typing, spreadsheet work and other ICT data input, maintenance and retrieval as directed.
- Support with the administration of Enrichment Week, including mail merge, letter preparation and trip pack presentation.

Support for the school
- Develop and maintain working relationships with other professionals

Take an active role in supporting and developing a culture of team working for the benefit of students and teachers, both individually and collectively. Actively participate in staff and team meetings and contribute to the development of policies and procedures.

Much of the time is allocated to responding to parents and students. The post holder may sometimes have to prioritise, in order to meet deadlines. Visitors to student services must be dealt with in a friendly and professional manner. The post holder interacts with many

people and needs to remain calm and competent, particularly when dealing with difficult situations.
- Contributing to the management of the security and well-being of the school

Always undertake duties in such a way as to ensure that the school is a safe and welcoming environment. Be familiar with all the school’s policies concerning the safety of students.

To ensure safe working practices and conformity with School Health and Safety Policies, advising students as necessary.
- Review and Develop own professional practice

Maintain effectiveness as a member of the school staff by taking responsibility for own continuing learning and development. Attendance will be required at any training courses provided by the school.

Business Leader.

Supervision and Management
The post holder does not have supervisory responsibilities for other staff.
There are no budgetary responsibilities attached to this post.

The post holder will comply with policies and procedures relating to child protection, health, safety and security.

The post holder will maintain confidentiality and data protection, reporting all concerns to an appropriate person.

The post holder will be aware of and support difference and ensure equal opportunities for all.

The post holder will contribute to the development and implementation of the overall ethos/work/aims of the school.

The post holder will develop constructive relationships and communicate with other agencies/professionals.

The post holder will participate in training and other learning activities and performance development as required.

Dimensions
Lighthouse Schools Partnership is a Multi-Academy Trust of 30 schools across the age range from
Nursery to Sixth Form. The Trust includes both community and Church of England schools as well as one Teaching School.

Decision Making
To decide upon how to deploy and manage their own time and work load, continually rescheduling their calendar to ensure it meets the conflicting demands of the role.

Be the school’s point of call for professional advice, support, challenge, and training for all enrichment activities. To produce information booklets, risk registers and develop and deliver appropriate training, briefings and assemblies.

To support the MAT in appropriate enrichment focused projects.

To have an understanding of how the decisions the post holder makes impact on teaching colleagues and their workload.
