**The Centre Practice is looking to employ a scanning administrator for 15 hours per week on a Monday, Tuesday and Friday. Experience preferred but full training will be given.**

**Purpose**

To process all incoming documents as appropriate and keep the medical notes room organised.

**Main Duties and Responsibilities**

The following is not intended to be exhaustive as new duties may be added from time to time after consultation and training.

**Scanning Skills**
- Assign electronic documents to patient record and task to work flow optimiser as appropriate
- Scan incoming paper documents and task to the work flow optimiser.
- Scan internally produced documents to patient records.

**Administration skills**
- Maintain the medical records filing system in an orderly manner and in alphabetical order.
- Other tasks as needed by the Data and Admin Manager.

**Confidentiality**

In the course of their duties, the Scanning Administrator will have access to confidential and sensitive information - both medical and business. The Scanning Administrator is bound by the confidentiality document and policy that they sign on commencement of employment. Any breach of confidentiality is a disciplinary offence and may lead to dismissal.

**Policies, Protocols and Staff Handbook**
- The Scanning Administrator is expected to make themselves aware of the policies and protocols that govern the operation of the practice.
- The Scanning Administrator will be given a copy of the staff handbook.
- Health and safety is taken seriously and the Scanning Administrator is expected to follow any guidelines and report any breaches.
- The Scanning Administrator must follow practice guidelines concerning safeguarding and report any concerns in line with these guidelines.
- The Scanning Administrator must be non-judgemental and act in accordance with the equality and diversity policy.

**Communication**

Communication is a crucial part of the Scanning Administrators role. When communicating with patients and colleagues the Scanning administrator must:

- When communicating with team members, be it verbal or written, the Scanning Administrator must be clear, concise, accurate, considerate, sensitive and respectful. Any written notes must be left in accordance to practice guidelines.
- When communicating with patients, their family members and carers, be it verbal or written, the Scanning Administrator must be clear, concise, accurate, considerate, sensitive and respectful.
- The Scanning Administrator must understand that the patient, their family and carers may need extended explanations and communication as they may not always understand what is being said to them. This could be due to language, hearing, sight and additional needs. The Scanning Administrator may need to speak slower or simpler but must do so without making the patient, their family member or carer feel belittled or judged.
- The Scanning Administrator must follow the accessible information standard and when contacting the patient must follow their preferred method of contact.

**Personal/Professional Development**

The Scanning Administrator will take part in training as required some of which will be at other locations and some online.

**Quality**

The post-holder will strive to maintain quality within Practice, and will:

- Alert other team members to issue of quality and risk.
- Assess own performance and take accountability for own actions; either directly or under supervision.
- Contribute to the effectiveness of the team by reflecting on own and team activities and making suggestions on ways to improve and enhance the team’s performance.
- Effectively manage own time, workload and resources.

**Job Types**: Part-time, Permanent
Part-time hours: 15 per week

**Salary**: £10.42 per hour
