**About us**

Umid is a private multi-disciplinary mental health practice in Alresford, near Winchester. Our team consists of independent practitioners including, a Consultant Psychiatrist, various accredited Psychological Therapists, Occupational Therapists, and Mental Health Practitioners. We specialise in providing person-centred, holistic, and compassionate care to children, adolescents, and adults. Our work includes adult psychiatric assessment and treatment for common mental health difficulties, including specialist neurodevelopmental assessment such as Autism, and ADHD. In addition, we provide psychological and occupational therapy assessments and treatment across the life span and in line with evidence-based practice.

**The role**

The Practice Administrator is a full-time, office-based role, playing a key part in supporting the Umid Team under the direct supervision of the Practice Manager. The post holder will deliver an effective and competent level of patient enquiries and administrative support, consistently providing a high-quality, client-focused service. Working independently as well as part of the wider team, the post holder will demonstrate initiative and a willingness to assist others, taking responsibility for specifically allocated tasks. Following set processes, prioritising their own workload, and showing initiative are essential to fulfil the requirements of the post.

Excellent interpersonal and communication skills are crucial, along with the ability to handle highly sensitive and confidential information. As the initial point of contact in the office, the post holder must possess competent ICT skills, including word processing, outlook, electronic health records, using Xero for inputting expenses and bills, and diary management. A flexible and adaptable approach is necessary to meet demanding deadlines, along with the ability and resilience to regularly deal with a range of routine and non-routine administrative tasks to deliver an efficient and effective service.

**Role specific tasks and objectives**
- Act on behalf of senior staff in their absence, making rapid and accurate assessments of urgent/delicate situations that can be addressed by appropriate colleagues within the team.
- Accommodate proactive and reactive situations within planning processes.
- Ensure that secretarial, administrative, and clerical support services are provided in a timely and efficient manner, including a wide range of duties from routine to exercising personal and professional initiative.
- Manage and prioritise all incoming and outgoing correspondence, initiating responses on behalf of senior staff where appropriate.
- Support the management of electronic diaries of senior staff, organising and scheduling appointments to make the best use of colleagues' time.
- Facilitate travel and accommodation arrangements for management, assessing and making accurate judgements of the time commitments involved and exercising time management skills to minimise disruption to staff's time.
