We have an exciting opportunity for a full time ward clerk to join the Ward team at NEECH (New Epsom and Ewell Community Hospital). The ward clerk is required to provide a comprehensive service to both the ward multidisciplinary team, patients and their relatives; and is a key role to ensure the smooth running of the ward.

A friendly, enthusiastic person, is required to support the nursing team. The post holder will undertake administrative and liaison duties enabling the nursing staff and multidisciplinary team to concentrate more freely on direct patient care.

The role involves considerable liaison with patients, relatives, hospital staff, other departments and other NHS hospitals. Excellent communication and organisational skills are paramount as well as a flexible attitude. If you're a confident pro-active multi-tasker, comfortable and able to manage and prioritise your workload with a smile; assured in using your initiative whilst being aware of the needs of the ward; we'd like to meet you.

Provide the day to day administrative activities to support nursing staff and multidisciplinary team including patient data processing, data entry, filing, photocopying, scanning etc, as agreed and required.

Be the non-clinical point of contact for patients, carers and others utilising and visiting the site/services, managing any enquiries, problems or concerns when required and/or passed onto the relevant member of staff for action.

Participate in the annual archiving process for clinical records produced by the clinical teams, and the transfer of records storage to IT systems, where possible, to support the development of paper-light systems.

Deliver clinical service specific administration tasks as a regular or routine business essential task utilising the processes that have been developed by Senior Administrator and other colleagues.

Monitor supplies of clinical paperwork, stationary etc in clinical team offices that is used on a daily basis and maintain appropriate levels to meet clinician’s needs.

Action any office equipment repair requests, i.e. photocopiers.

Respond to/report problems within the site including cleaning, property maintenance issues and other essential services. Report estates repairs required in line with the estates procedure.

Ensure patient notes are compiled and records at ward level are maintained. Filing of case notes once patient has been discharged.

Administration support to clinical services
1. Maintain a general knowledge base of services and activities delivered on the site.
2. Provide the day to day administrative activities to support the clinical services operating on the site including patient data processing, typing, minute taking, agenda preparation, data entry, filing, photocopying, scanning etc, as agreed and required.
3. Be the non-clinical point of contact for patients, carers and others utilising and visiting the site/services, managing any enquiries, problems or concerns when required and/or passed onto the relevant member of staff for action.
4. Respond to and manage unexpected events occurring within site/ front of house.
5. Provide cover on reception at own or other sites within business unit, if required to do so.
6. Act as triage for telephone calls and respond or cascade as appropriate. Forwarding messages to the appropriate person via a range of transmission options based upon the urgency and type of response required to the enquiry.
