Fleet Administrator

**ROLE AND RESPONSIBILITIES**
This is a multi-faceted role in which you will be required to provide administration and business support to your Line Manager(s) and the company. Your primary position will be assisting the Fleet Manager in all tasks relating to fleet, vehicles, vehicle tracking, servicing, and repairs. Additional you will also be providing administrative support to our SHEQ function. The jobholder’s objective is to achieve and maintain accurate records and communicate any information to managers, employees, customers.
**1) Fleet Administration**
The jobholder will be required to carry out all administration tasks for their department. This will include diarising vehicle repairs & servicing, checking vehicle tracking reports and reporting any anomalies, maintaining asset register list, ordering new fuel cards, and typing correspondence for their manager
**2) H&S Administration**
The jobholder will be required to take all calls relating to any incident/defects reported on a designated mobile, record the information on a spreadsheet, update audit scores, both safety and quality and any other tasks as directed by the managers.
**3)General Administration**
The jobholder will be required to carry out any other administration tasks such as filing, photocopying, writing e mails, whilst also providing a central function for booking accommodation/travel across the company. The jobholder will be responsible for answering Hi-Line’s inward phone calls promptly and professionally and for handling the inward call themselves, redirecting the call to the correct person or taking an appropriate message. Associated with this responsibility, the jobholder will maintain an up-to-date internal contact list of employee mobile and other numbers.
**4) Locations**
Hi-Line has a duty of care to record and account for the whereabouts of all its employees daily. Hi-Line has an established procedure to manage this process and involves the handling of inward messages from our teams, recording data on our MS Access based Locations Tracker. The jobholder will be required to maintain daily locations for their specific area plus additional areas if required.
**5) Sundry**
To carry out other duties as required by the company.
**ESSENTIAL REQUIREMENTS**
The post holder will be required to have the following:
Eligibility to work within the UK
A minimum 2 years administration experience
Excellent organisational skills, be able to prioritise work and work to deadlines
Excellent IT and keyboard skills to include Microsoft Excel, Word and Outlook
To be able to work to a high level of accuracy - Excellent communication and customer service skills
Experience of maintaining data in CRM & EMP systems
**Salary**: £21,840.00-£25,095.55 per year
