Personal Assistant to Deputy Chief Constable

We are currently recruiting for a Personal Assistant to work for the Deputy Chief Constable of Wiltshire Police.

This role will be to cover maternity until October 2023.

As the Personal Assistant you will:

- Be proactive and able to communicate with a wide variety of people, including executive and senior leaders as well as key partners and key stakeholders.
- Be organised and experienced in providing PA support to a busyELT member with experience in diary management
- arranging of meetings
- the production of supporting paperwork such as agendas, minutes, and actions
- Ensuring appropriate travel and accommodation arrangements are in place for the DCC when required.
- Experience in the production of Microsoft documents and the use of Outlook.
- Support as required.
- As a member of the Chief Officer Support Team (COST) you will be expected to provide cover for your colleagues where appropriate.

**Main Responsibilities**
- **PA Service Delivery -**as a member of the Chief Officer Support Team (COST) you will provide a consistent and appropriate level of service to your Chief Officer. This support should be timely, efficient and flexible, providingthe best available resource to meet the specific needs required by the business at that time.
- **Internal and external communication -**act as the first point of contact for your Chief Officer screening enquiries and requests and dealing with them as appropriate, liaising with internal and external contacts.
- **Diary management -** to take the lead in organising and maintaining your Chief Officers diary, making the appropriate arrangements for meetings with internal and external parties.
- **Meeting attendance/support -**you will be required to attend (either in person or via Teams) and Minute meetings chaired by your Chief Officer, this involves preparing and circulating all meeting papers in advance of themeeting.

You may also be asked, from time to time, to provide support to a member of your Chief Officers Senior Leadership Team (SLT).

As a member of COST you may be asked to provide ad hoc cover at meetings for another Chief Officer during the absence of their PA/Staff Officer.
- **Other Duties -**Each Chief Officer portfolio is different and carries other duties which would fall to that particular PA

ESSENTIAL CRITERIA

Previous PA/administrative experience gained in a busy working environment, including customer service experience.

Proven record of working within a confidential environment.

Must be computer literate with good keyboard skills.

Competent in the use of Microsoft, Word, Outlook and Excel.

Excellent written communication skills to prepare letters/minutes of meetings.

Excellent communication and interpersonal skills with the ability to liaise at all levels both within the organisation and externally.

Ability to manage and prioritise a diverse workload to set deadlines.

Ability to act on own initiative, to work alone and work as part of a Team.

Attention to detail and accuracy.

Diary management skills.

Ability to plan and organise meetings.

Excellent time management skills, with the ability to cope under pressure.

General awareness of equality and diversity issues in the working environment.

Awareness of workplace Health and Safety issues.

Understanding of confidentiality and Data Protection/Freedom of Information issues.
