St Andrews Property Co is a trading name of Short Stay St Andrews Ltd, now the largest holiday let management agency in St Andrews. We undertake holiday let management, student let management and refurbishments.

We are based at 195 South Street, St Andrews with over 100 properties under management.

We are currently seeking a highly organised and detail-oriented Refurbishments Project Assistant to join our busy property management and refurbishment business based in St Andrews. As a Refurbishments Project Assistant, you will play a vital role in ensuring the smooth running of our refurbishment projects as we continue to grow and develop. Your expertise in client relations, estimating, design coordination, project administration, and budget management will be instrumental in achieving successful outcomes.

**Refurbishments Project Assistant role to include (but not limited to)**:
**Client Relations**:

- Act as the primary point of contact for new refurbishment leads.
- Liaise with potential clients to understand their requirements and expectations.
- Provide excellent customer service, addressing any concerns and maintaining positive client relationships throughout the project.

**Estimating**:

- Drawing on your previous experience and knowledge to develop accurate estimates for the specified refurbishment work.
- Coordinate with external contractors to obtain quotes for specialised services.
- Enter all relevant information into our estimating system, ensuring data integrity and accuracy.

**Design Coordination**:

- Collaborate with clients and kitchen/bathroom designers to bring their concepts to life.
- Facilitate effective communication between all parties involved in the design process.
- Ensure that design specifications align with project requirements and budget constraints.

**Works Preparation**:

- Prepare detailed project plans, including timelines, resource allocation, and material procurement.
- Coordinate with suppliers and vendors to ensure timely delivery of required materials.
- Anticipate and address any potential challenges or obstacles that may arise during the works.

**Onsite Management Safety**:

- Maintain a strong focus on safety protocols and procedures.
- Access management and recording.
- Conduct frequent site visits to monitor adherence to safety regulations and address any safety concerns promptly.

**Budgeting and Reconciliation**:

- Develop and manage project budgets, tracking expenditures and ensuring cost control.
- Regularly reconcile project costs and invoices, ensuring accuracy and adherence to financial guidelines.

**Project Administration**:

- Collaborate with planning authorities, architects, and other relevant parties to ensure compliance with regulations and obtain necessary permits or licenses.
- Handle project-related paperwork, documentation, and reporting requirements.
- Maintain comprehensive project records, including contracts, warranties, and certificates.

**General Property Condition Reports**:

- Conduct property condition assessments and generate reports for our property portfolio.
- Identify maintenance or refurbishment needs and recommend appropriate actions.

**Qualifications and Skills**:

- Proven experience in project management within the refurbishment or construction industry.
- Strong knowledge of estimating techniques and ability to produce accurate cost estimates.
- Excellent interpersonal and communication skills for effective client relations.
- Ability to coordinate with designers, contractors, and suppliers to achieve desired outcomes.
- Proficiency in project management software and tools.
- Solid understanding of safety protocols and regulations.
- Strong organisational and time management abilities.
- Financial acumen for budgeting and cost control.
- Attention to detail and ability to multitask in a fast-paced environment.
- Familiarity with property management practices is a plus.

**Location**

Primarily based in St Andrews between our office on South Street, St Andrews and our operations depot 5 mins outside St Andrews.

**Salary**: From £23,000.00 per year
