Lesney Ward

We are seeking a motivated and enthusiastic individual to work at Lesney Ward, which is mental health inpatient ward. The post will be based at Lesney ward, Queen Mary’s Hospital, Frognal Avenue, Sidcup, DA14 6LT. You will need to demonstrate drive, commitment and enthusiasm working in supporting the quality care provided to both service users and carers.

The post holder will need administrative experience, to be proficient in Microsoft Windows packages and the ability to communicate courteously face to face, on the telephone and in writing to service users and professional staff.

The post holder will need excellent keyboard skills and be able to prioritise and organise your work in a busy ward environment. The post holder should be flexible in your approach and be able to proactively communicate with colleagues and offer administration support to clinical staff. Experience of working within a health service environment would be desirable. Experience of using RiO or other patient information systems would be an advantage although full training will be given to the successful applicant.

The post holder will receive regular supervision and support with their continuous professional development.

Undertaking word processing/audio support for the provision of required reports, letters, summaries, etc..

Using Hybrid Mail, ensure correspondence to GPs is sent in a timely manner

Using RIO (electronic system) to record and retrieve information on both service users and caseload

Implement and maintain effective filing systems, ensuring that service user records are kept safe, confidential, up to date

Respond to incoming calls and deal with enquiries in accordance with management procedures. Record all messages accurately ensuring appropriate action is taken and messages passed to the relevant discipline/clinician. Use initiative in finding appropriate clinician for advice if required staff member is absent

Implementing and maintaining effective communication systems with team, crisis teams, acute in-patient staff and community staff across the trust., GPs, other outside agencies and service users

Distribute/disseminate post as applicable

Undertake retrieval (via Windip) of electronic clinical files that have been archived

Processing of Data Protection enquiries, liaising with both service users and clinicians to ensure that all necessary information is provided in an efficient and timely

Undertake administrative duties - photocopying, scanning

Provide assistance to clinicians in troubleshooting compute

Booking of interpreter services to attend

Minute taking

Provide support for any volunteers undertaking work in the unit, as directed by the Admin Manager

Participate and support any audits being undertaken in the unit, working with corporate colleagues and the Directorate Business Office as

Scanning incoming correspondence, referrals and reports. To ensure all are correctly uploaded into electronic system using the correct naming convention

Work flexible hours

Providing cover for other team administrators during periods of leave, sickness or to alleviate workload of colleague as
