**Data and Network Administrator Job Description**
**About Fleet Assist**
Fleet Assist provides network management services to 38 of the UK's leading leasing & contract hire companies with a combined fleet size exceeding 1.1m vehicles and annual maintenance spend exceeding £200m.
Fleet Assist is an automotive supply chain management services specialist which has multiple products tailored specifically to the leasing, contract hire and short-term rental industries with its core SMR Services supported by the Atlas award-winning intelligent platform and database.
The Fleet Assist name has become synonymous with market leading services, securing preferential rates, service levels and terms across multiple verticals. Network Supply Chain Management At the core of the Fleet Assist proposition is its network of over 5,000 garages comprising Franchised, Fast fit and Independents through which preferential terms and conditions are in place. Its award-winning system “Atlas” system is utilised across the network delivering significant efficiencies to leasing companies and garages. The net result is improved purchasing terms for leasing companies, improved service level management and business intelligence that provides market leasing visibility enabling improved SMR spend management.

**Admin Overview**
With a small, friendly team the Admin Department is responsible for a number of “back-office” functions that are essential in keeping Fleet Assist moving forwards. The team works closely together across these core responsibilities.
Admin currently have three main responsibilities:
- Network Administration
- Rental Administration
- Platform Managed Services
- Customer Services
**Network Administration**
Network Admin is responsible for keeping our 5,000 garages up to date on our Atlas system. This mainly involves updating labour parts, parts discounts and fluid costs, as well as managing the capabilities and services the garage is able to offer. Other duties include:
- Dealing with inbound and making outbound calls
- Dealing with requests from the garage Account Managers and Senior Management Team in a timely manner
- Dealing with day-to-day queries from garages
- Making sure all garage information stored is correct and kept up to date
- Creating and sending garage agreements
- Audit garages to sure they have the correct manufacturers information loaded.
**Rental Administration**
Fleet Assist supplies vehicles to independent daily rental companies for use as rental vehicles, and garages for use as courtesy vehicles. Supplying a range of car and commercials across 15 different manufacturers, the vehicles on a variety of terms and contract types.
- Processing of vehicle orders when received
- Liaise with the dealerships to arrange delivery dates and keep customers up to date
- Creating hire agreements and ensuring they are signed by the customers
- Opening & scanning post received before distributing to relevant recipients
- Arranging collection of defleeted vehicles & reviewing damage reports to recharge
- Log supplier invoices ready for management approval
**Platform Managed Services**
Platform Managed Services is a bespoke service undertaken by the Admin Team to provide our subscribed garage customers with information that will help them use the 1link platform more successfully. Other duties include:
- Downloading and managing 1link platform data
- Onboarding of new customers
- Preparing garage performance stats
- Compiling results and running quarterly analysis
- Creating and distributing quarterly reports
- Looking for ways to refine and improve our service
**Customer Services**
Customer Services is responsible for handling complaints and any issues raised by our customers and garages. You will be responsible for seeing a complaint through from start to finish and managing both internal and external stakeholders expectations around the timely delivery of a resolution. Other duties includes:
Dealing with customer services issues over the phone
- Thoroughly investigating each complaint assigned
- Looking for ways to refine and improve our customer services processes
