Commnity Operations Coordinator

**KEY RESPONSIBILITIES OF THE POST ARE**:
**Operational Coordination**:
- Collaborate with different departments to streamline operational processes, identify areas for improvement, and implement efficient workflows.
- Coordinate and monitor daily operational activities, ensuring adherence to established policies, procedures, and timelines.
- Maintain accurate records, databases, and documentation related to operations, including inventory, contracts, and project files.
- Track and manage operational budgets, expenses, and resources, ensuring financial efficiency.
- Update policies as necessary.
**Logistics Management**:
- Coordinate and manage logistics for various projects, including scheduling, resource allocation, and procurement of equipment or supplies.
- Liaise with vendors, suppliers, and service providers to ensure timely delivery of goods and services.
- Monitor inventory levels and coordinate replenishment as needed.
- Oversee facility management tasks, including maintenance, repairs, and security.
- Take ownership of Connect Alloa funds and finances and organise them as receipts are added to keep our annual accounts up to date.
**Project Support**:
- Provide administrative and operational support for projects and
initiatives, including planning, coordination, and documentation.
- Assist in the development and implementation of project plans,
milestones, and deliverables.
- Track project progress and propose solutions to ensure timely
completion.
- Prepare reports, presentations, and other materials to summarise project
activities and outcomes.
**Communication and Collaboration**:
- Facilitate effective communication and collaboration among cross-functional teams to ensure alignment and smooth operations.
- Serve as a point of contact for internal and external stakeholders, responding to inquiries and providing timely updates.
- Coordinate meetings, conferences, and events, including scheduling, logistics, and documentation.
- Foster a positive and collaborative work environment, promoting teamwork, knowledge sharing, and continuous improvement.
**Process Improvement**:
- Identify opportunities for process optimisation, efficiency gains, and cost savings within operational workflows.
- Propose and implement process improvements, including the development of standard operating procedures (SOPs) and automation tools.
- Monitor and evaluate the effectiveness of implemented processes and adjust as needed.
**Connect Alloa may require you to also**:
- Attend and participate in other appropriate meetings as and when required, i.e. meeting online or face-to-face where to provide updates etc as part of the contract.
- Undertake other duties which may be required, and which are commensurate with the post.
- Understand that even out with working hours, you represent the charity and its ethos.
**Job Type**: Fixed term contract
Contract length: 7 months
**Salary**: £26,537.00 per year
