Position Overview:
The receptionist serves as the primary point of contact for patients and visitors to the practice. They are responsible for handling various administrative tasks to ensure smooth operations within a mixed disciplinary practice offering both private treatments and NHS services. The role requires excellent communication skills, strong organisational abilities, and a friendly demeanour to provide exceptional customer service to patients.
Key Responsibilities:
Front Desk Management:
- Warmly greet patients and visitors upon arrival at the practice.
- Efficiently schedule patient appointments, considering dentist availability and treatment room availability.
- Maintain a tidy and welcoming reception area, ensuring cleanliness and organisation.
Patient Administration:
- Register new patients by collecting personal information and updating records accurately in the practice management system.
- Assist patients in completing necessary forms and documentation.
- Handle patient billing and payments, ensuring accuracy and confidentiality.
Appointment Coordination:
- Manage the dental appointment schedule, adjusting as needed to accommodate patient needs and emergencies.
- Coordinate follow-up appointments and treatment plans according to dentist recommendations.
Administrative Support:
- Assist with administrative tasks such as filing, scanning, and photocopying documents.
- Maintain an inventory of office supplies and request orders when necessary.
- Collaborate with other team members to ensure seamless communication and workflow.
Patient Relations:
- Address patient inquiries and concerns promptly and professionally, escalating issues to management when necessary.
- Foster positive relationships with patients by providing empathetic and courteous assistance.
- Respond to patient feedback and inquiries with a focus on patient satisfaction and retention.
Qualifications and Skills:
- Previous experience in a customer service or administrative role, preferably in a dental or healthcare setting.
- Proficiency in using dental practice management software and basic computer skills (e.g., Microsoft Office Suite).
- Knowledge of SOE (Software of Excellence) or similar dental practice management software is advantageous.
- Strong interpersonal and communication skills, with the ability to interact effectively with patients and colleagues.
- Exceptional organisational skills and attention to detail to manage multiple tasks efficiently.
- Ability to maintain confidentiality and handle sensitive patient information with discretion.
- Flexibility to adapt to changing priorities and work schedules, including occasional Saturdays.
We are looking for a full-time member of staff who can also work occasional Saturdays.
