Job Summary:
This role is responsible for License Management, ensuring all license records are maintained throughout their lifecycle, that enable the Cubic operational teams to deliver exceptional service to high profile and demanding clients. The License Coordinator will also be the Cubic representative in coordinating hardware renewals and general procurement as required to support the customer infrastructure.

Essential Job Duties and Responsibilities:

- Responsible for managing the lifecycle of a License; from confirmed procurement to assurance and including the update of various records and systems
- Ensure Assurance is carried on renewals
- Obtain quotes from suppliers, raising purchase requisitions and managing approvals of invoices
- Responsible for monitoring and documenting various licenses, license renewals, hardware renewals and other procurements, tracking the progress of renewals and procurement; liaising with SMEs, Commercial team and the Customer
- Manage all License records; tracking all Licenses and maintaining accurately their attributes with various systems and reports, ensure data is updated in a timely manner.
- Coordinate with the customer to ensure hardware renewals and other procurements are carried out in a timely manner, addressing Cubic’s needs to support the Customer infrastructure, whist maintaining the relevant records and tracking progress.
- Coordinate with SMEs to ensure all License, hardware and procurement requirements are captured.
- Supports Asset and Configuration Management activities/engagement across the business
- Support the License mapping to Assets/Configuration Items (CIs).
- Investigate and report License Management, Renewal and Procurement issues and non-compliances, work through them until resolution.
- Provide timely response to customer, keeping them informed
- Work and coordinate with the Configuration Team to ensure changes are captured and recorded
- Create reports that will be used by Senior Management and Customers
- Provide data in the form of presentations and reports and present these to internal and external clients on a periodic and ad hoc basis
- Support the development and modification of related plans, policies, processes and procedures that support License Management, Renewal and Procurement process
- Support the period end reporting to the customer and meetings with the customer
- Possesses an understanding and interpretation of Service Level Agreements (SLAs) and Operational Level Agreements (OLAs), meets or exceeds established OLAs and recommends strategies to continuously improve License Management
- In addition to the duties and responsibilities listed, the job holder is required to perform other duties assigned by their Manager from time-to-time, as may be reasonably required of them
- To carry out all tasks in accordance with company Health & Safety quality standards and procedures
- Comply with Cubic’s Quality Management System
- Comply with Cubic Occupational Health, Safety and Environment policies and procedures
- Comply with security in accordance with established policies and procedures of the organisation

Minimum Job Requirements:
Skills knowledge and experience:
Essential:

- Extensive experience of creating and analyzing reports in different formats i.e. Word and Excel
- Basic understanding of Contracts
- Technical writing experience
- Proven track record of independently identifying problems and implementing appropriate solutions
- Exceptional written and oral communication skills
- Extensive experience with Data Analytics, including the ability to independently discover and outline issues
- Experience gathering customer requirements
- Proven stakeholder relationship and customer service skills
- Highly proficient user of MS Office, specifically advanced Excel capabilities
- Experience of working to ISO20000 standards

Desirable:

- Extensive experience in creating, updating and maintaining License Records within License Management Systems or other License Management repositories
- Experience with License Management toolsets, such as ServiceNow
- Considerable experience identifying and tracking Licenses
- Prior knowledge of Cubic products and/or systems
- Experience of working within the rail or bus industry
- Experience of working in commercial contract management
- Experience of working with service level agreements
- Experience of delivering workshops/training sessions
- Database Administration Skills
