As a Fleet Operations Coordinator you will be responsible for providing effective administrative support to the Fleet Management team.

The role will involve working with the Fleet Management team to ensure that the Ocado Fleet remains operational. This will include working with internal and external customers, coordinating ordering of parts, processing of invoices, record keeping and handling fleet-related queries.

**Accountabilities**
- Coordinating all fleet repairs, including the ordering of parts, to ensure that fleet availability is optimised
- Updating and maintaining relevant records, purchasing systems and fleet management systems with fleet and insurance data
- Coordinating the new van take-on process, ensuring that this is completed in a timely manner
- Liaising with sites to coordinate vehicle moves, partnering with them to ensure all moves take place efficiently
- Ensuring fleet compliance for MOTs, PMIs, LOLERs, calibrations, taxation and roadworthiness
- General fleet administration and coordination such as the taxing of vehicles, filing of vehicle information, coordination of vehicle repairs and maintenance and servicing
- Management of the payment of invoices, including being the point of contact for external customers, ensuring rates are to agreed terms
- Approving Service Level Agreements on all long-term hires
- Coordinating the investigation of insurance claims. Acting as the key point of contact for fleet queries.
- Providing general operations support and coordination, including the building and issuing of weekly and monthly reports, coordination of contractors and operations administration etc
- Continually reviewing, analysing and evaluating existing ways of working, suggesting improvements and working with internal and external customers to implement changes

**Skills, Experience and Qualifications**
- Fleet and maintenance experience would be beneficial, although full training will be provided.
- Up-to-date knowledge of legal & compliance documentation and processes would be beneficial.
- Previous experience with invoices and credit control
- Experience with Oracle Fusion
- Strong communication and influencing skills with the ability to interact across all levels of management will also be required in this role
- Strong attention to detail, problem-solving ability and the ability to work to deadlines.
- Full current driving licence (no more than 6 points) and the ability to travel
- Some travel will be required, with amount and destination varying depending on the need to visit sites
- Given 24/7 operation of colleagues and offices being supported, flexibility to work outside of "normal" business hours will be required
- Must be able to perform successfully in a fast-paced, service-oriented environment in keeping with Ocado's values and culture.
