Office Administrator

37½ hours per week Monday - Friday. 9 - 5pm. On occasion overtime may be necessary to cover holidays.
You will be trained in the procedures of the job, however you will be expected to have a good working knowledge of Microsoft Windows 10, Office - Word, excel, access and power point, with basic key skills in Maths and English.
Office experience essential. You will need accurate typing at a good speed. Be polite, friendly and confident with a courteous manner when using the telephone.
We are a small office and you will need to be able to work well under pressure and prioritize your workload.
Duties include but not limited to:
Answering telephone.
Main typing
Collating information from various sources.
Keeping office dairy up to date
Greeting and signing in visitors.
Keeping various databases up to date.
Stationery: keeping stock levels up, finding best price, ordering, checking delivery, putting away.
Updating computerised system with information from job sheets.
Timesheets - extracting information and inputting into excel spread sheet.
Updating contract jobs
Use of excel spreadsheets to input information
Weekly job costings
Access database monthly figure collations
Collating and checking weekly timesheets using job management system ensuring engineer job sheets have been received
Taking service calls and arranging for engineer to attend
Scheduling daily work for engineers using job management system
Creating and sending invoices
Maintaining customer contracts ensuring visits are carried out and contracts are renewed and kept up to date.
Arrange accommodation when required for engineers.
