Gurkha Security Services has an exciting opportunity near Goodge Street station for an international design company.

On site hours: 07.00hrs - 19.00hrs Monday to Friday with 1 x hour lunch break. _**You must have a valid SIA license.**_

**Key role & responsibilities**:

- Reporting into Studio Management.
- Meet and greet all guests and employees.
- Meeting room management.
- Liaise daily with Housekeeping for catering and meeting room set up and with Security on guest activity and deliveries.
- Organise courier and taxi bookings for employees.
- Monitor incoming call messaging service and distribute audio messages and transcripts appropriately.
- Invoice reconciliation for taxi and courier services as well as food and beverage orders.
- Issuing of PPE to employees, logging back in, maintaining the inventory, and advising Studio Management of new stock requirements.

**Meet and greet**:

- Maintain a professional personal appearance in accordance with Studio Management guidelines.
- Deliver a warm and genuine meet and greet experience for all guests and employees alike.
- Notify hosts upon the arrival of their guests and where possible accompany them to their meeting rooms.
- Prepare refreshments for individuals and smaller meetings where time allows.
- Be upstanding and always prepared to welcome expected and unexpected guests.

**Meeting room management**:

- Ensure all meeting rooms are ready for use and the IT equipment is present and in good working order and if not, request IT to rectify any issues.
- Arrange tables and chairs in all formal and informal meeting spaces, to suit the required meeting layout, requesting assistance from Studio Management as and when necessary.
- Liaise with Housekeeping to prepare and clean down the spaces before and after use.
- Report any broken or defective furniture and clear away any remaining items.

**Catering**:

- Coordinate with Studio Management to organise breakfast and lunch orders for meetings, CPD’s and internal gatherings and events.
- Monitor stock levels and facilitate fruit and milk orders as necessary.

**Post, couriers & taxis**:

- Organise incoming post and parcels, logging them in and distributing accordingly.
- Organise couriers and taxis as requested by employees and ensure all details can be reconciled against invoices.

**In general**:

- Be stationed at the reception desk located at the bottom of the ramp or at the main entrance when covering Security lunch breaks.
- Maintain a neat and organised reception area, including ramp and seating areas.
- Maintain filing protocol in reception folder on the IT network.
- Liaise daily with the housekeeping team to ensure all kitchen facilities and equipment are fully functional, clean, and tidy. Report any concerns or issues to Studio management that cannot be easily resolved, or which prevent the company from delivering the highest standards in housekeeping services.
- Respond positively and proactively to any other reasonable requests made by the Studio Management Team.
