The Role

Newcastle University is looking for a highly experienced events professional to join its Advancement team during an exciting development period.

As Events Officer within the Advancement Team, you will play an essential role in developing and delivering a wide variety of online, in-person and hybrid events, to grow the University’s engagement with its diverse alumni and supporter audience. You will be responsible for the successful delivery of an annual programme of UK and international based events (in-person, online and hybrid) for the University’s Advancement Office. The purpose to to build and strengthen mutually beneficial lifelong relationships with the University’s global community of students, graduates, staff and supporters.

In addition you will also provide expertise in the planning and development of the University’s high-profile programme of fundraising events to engage both internal and external stakeholders with the Campaign for Newcastle University, a multi-million-pound fundraising campaign.

You will be a graduate or equivalent with relevant experience in events management, a strong team player with a drive for delivering an excellent events experience and tangible outcomes.

Key Accountabilities
Responsibility for developing and delivering a wide range of events both in-person and online. Working closely with colleagues across NU Advancement and the wider university to ensure the events meet specific objectives and deliver an outstanding audience experience
In liaison with Event Leads, manage all elements of events (UK and international) to ensure quality and consistency of delivery. Duties may include: developing event plans, liaising with external stakeholders, assessment and booking of appropriate venues; catering and hospitality arrangements, staffing plans, health and safety assessments, briefing staff and training student ambassadors and volunteers. For digital events, selecting and implementing suitable platforms appropriate to each specific event
To develop and maintain the annual events calendar to assist in the preparation and monitoring of the NU Advancement annual plan, budget and workload
To establish, maintain and develop event systems and processes necessary to support delivery, monitoring and evaluation. This will include the use of Power BI to report on event statistics and outcomes to inform future decisions
Working closely with the Communications team to ensure the timely and effective promotion of events and activities via appropriate channels
On-site event management, including technical set up, guest registration, catering management, trouble shooting and providing support for the relevant team
To inform the future event planning process via regular de-briefs and follow up communications with event partners and stakeholders
To ensure that the CRM database is maintained with details of all events including venue information, timings, invitation lists, RSVPs, attendees and seating plans
To ensure all events are fully compliant with Health and Safety regulations and ensuring all relevant documentation is completed and up to date
To keep up to date with the latest insights into event management in order to help inform the direction of the events programme

The Person

Knowledge, Skills and Experience
Outstanding communication, organisation and event management skills
Excellent IT skills and demonstrable experience of working with platforms such as Zoom Webinar, recording equipment and audio editing software (e.g. Adobe Audition)
Outstanding attention to detail, and excellent copywriting, editorial, report writing and proof-reading skills
Excellent interpersonal, teamwork and negotiation skills, and ability to communicate effectively with a range of external contacts and audiences
Proven experience of developing relationships with a range of internal and external stakeholders
An understanding of issues relating to publicity and promotion and the marketing of events
Excellent project management, time management and administrative skills
Flexible approach to work demands in the context of event delivery
Substantial experience relating to event planning, organisation, management and promotion, in the context of large public audiences, both virtually and in person
Good knowledge of health and safety and first aid requirements around events
