Provide administrative support to the Learning & Development Team.

**Key Responsibilities**
- ICAEW Registrations
- Be responsible for ICAEW Registrations across the firm.
- Manage new joiners, leavers, promotions and department or role changes.
- Preparation of information and submitting to the ICAEW.
- Update the HR system and the internal ICAEW register for budgeting purposes.
- Gather copies of certificates and keeping files current.
- Facilitate the annual renewals with ICAEW.
- Other Accredited Bodies and Institutes
- Maintain a register of corporate memberships and files for contracts.
- Ensure timely payment for corporate and individual memberships.
- Maintain a current register of individual memberships for budgeting purposes.
- Fit and Proper
- Facilitate the annual firm-wide Fit & Proper declaration exercise.
- Mandatory e-learning
- Facilitate mandatory e-learning via the firm’s Learning Management System.
- Manage to completion and prepare reports on completion statistics.
- Learning Management System
- Maintain users on the system
- Issue regular training courses and assessments
- Produce reports
- Ensure timely payment of invoices
- Course and exam booking
- Ad hoc booking of courses and exams for all regulated areas.
- Order all study materials.
- Process invoices for courses and exams.
- Collate monthly exam results and report for bonus purposes.
- Update the HR system and relevant spreadsheets.
- Organise internal courses.
- Maintain a schedule of all students studying towards professional qualifications.
- Record new and existing staff qualifications on the HR database.
- Technical and Personal Skills Training Courses
- Assist with various pre and post course tasks.
- Assist the L&D and T&C Managers with bespoke in-house programmes, coordinating meeting rooms, external venues and course materials where necessary.
- Co-ordinate CPD certificates for participants.
- Corporate Induction
- Invite new joiners.
- Schedule presenters and update all slides.
- Prepare materials.
- Organise the networking lunch.
- General Administration
- Take phone messages.
- Arrange meetings booking rooms and catering.
- Update the L&D intranet site.
- Co-ordinate invoicing and cross charging for courses and events.
- Provide absence cover to the T&C Officer.
- Other ad hoc support as required.
- Strong administrative skills
- Prioritising work on a day-to-day basis
- Dealing with queries
- Experience of working within an HR / L&D environment desirable, as is any previous experience working in a financial services regulated environment

**Qualifications**
- Educated to at least A level (or equivalent)

- Planning and organising - must be able to organise their time to manage high volumes of work with a proactive attitude.
- Attention to detail - a zero tolerance attitude to errors.
- Innovative - demonstrates initiative to improve work processes.
- Good oral and written communication skills in order to deal effectively with period at all levels, both internally and externally.
- Use of IT - proficient in Excel, Word and Outlook.
