**Project Coordinator - Head Office, Salford, Manchester**

We are looking for a **Project Coordinator** to join our Projects Team at Thermatic Technical FM. The team's main aim is to deliver planned AC installation projects to our clients as effectively, efficiently, and safely as possible. The Project Coordinator supports this purpose by assisting the Project Managers and Engineers with project planning, coordination, and administrative tasks.

To be successful in this role, you will have strong customer service and interpersonal skills to deal with different customers and departments within the business. You will have great time management and organisational skills and be able to communicate clearly to colleagues at all levels. You'll also be confident with operating MS Office package and quick to learn new computer-based systems.

Essential attributes also include previous experience with coordinating teams and activities within a similar function.

Experience setting up and managing projects within construction, FM, or the Engineering sector would be advantageous, as would experience operating compliant procurement processes. Having used the Job Logic CAFM system would also be a bonus.

**Hours & Location of Work**:

- Main location - Thermatic Head Office based in Salford. Opportunities to work remotely will be available.
- Regular hours of work - Monday to Friday, 8am to 5pm - 40 hour working week

**Responsibilities include**:
**Operational**:

- Assist installation teams in the planning and procurement stages of Thermatic projects
- Liaise with the design team and Project Managers to determine the scope, sequencing, specifications and coordination of works in line with company and customer expectations
- Liaise with third party suppliers and subcontractors, including logistics partners, to ensure clear communication with clients throughout
- Manage Job Logic system to work with Project Managers to ensure clarity and quantity of entries
- Provide support to Project Managers and Engineers to ensure the smooth delivery of planned projects
- Manage hired equipment required for planned projects
- Understand the project and engineer allocation schedules and managing to ensure appropriate labour allocation including the arrangement of night works with engineers, contractors, and the client
- Coordinate and record Project team huddles and meetings, ensuring that information is collected and recorded accurately and distributed to the correct persons
- Retain ownership for data and information storage within the TTFM workspace. Create organised project folders and ensure that information is stored accurately and within easy reach of the project team

**Customer**:

- Operate with a high level of customer service at all times throughout the life cycle of a project
- Be a central point of contact to support Project Managers while on site surveys

**Finance**:

- Analyse project KPI’s and produce reports for Project Director
- Review and manage the supply chain and subcontractors to ensure up to date with compliance and project requirements
- Manage on hire and off hire of hired equipment reporting to reduce cost to overhead and mitigate any unnecessary costs

**Compliance**:

- Control point for Risk Assessments Method Statements prior to approval, including reviewing subcontractors
- Work with Project Managers to build Operation & Maintenance manuals for installation equipment

**People**:

- Be the central point of contact for Project Managers and Engineers to liaise with.
- Collate timesheets from engineers ensuring hours are allocated accurately, then liaise with payroll for processing
