Are you an experienced administrator or secretary looking to work within the professional services or construction sector? If so, we're recruiting a Secretary to join our award-winning team

This position is varied and involves supporting our busy Rural team in their day-to-day roles.

Working on a hybrid basis, we would ideally be looking for a minimum of 3 days in the office with preferred working hours of Monday-Thursday 8:00am-4:30pm, and Friday, 8:00am-4:00pm.

**Job Purpose**

**What you’ll be doing**:

- Providing first class secretarial support to the team
- Diary management including arranging and co-ordinating meetings/appointments and arranging room bookings (including meeting room set-up)
- Managing travel arrangements and expenses
- First point of contact for telephone calls within the team, dealing with enquiries and passing on messages
- Assisting clients and other parties with enquiries
- Digital audio and copy typing to include terms of engagement, reports, letters, memos, minutes, agendas, file notes and other miscellaneous correspondence
- Dealing with post and correspondence, taking copies as required
- Raising fee invoices whilst chasing fee debtors and reporting back to the Finance team
- Completing and updating order books and timesheets on behalf of the team
- Data and record management in line with RICS requirements
- Updating and maintaining various Microsoft Excel spreadsheets
- Ensuring professional memberships and subscriptions are up-to-date
- Printing and collation of reports
- Filing, photocopying, scanning
- Ensuring the office space is presentable and tidy at all times
- Updating processes and systems in line with our new Property Management system
- Ad-hoc administrative tasks and any other duties as reasonably required

**About you**:

- Proficient using Microsoft packages such as Excel, Word & Outlook
- Excellent administrative and organisational skills
- Fast learner when picking up new systems and processes
- Articulate, with strong verbal and written communication skills
- Professional telephone manner
- Team player with a willingness to learn, a positive outlook, and a good sense of humour
- Good numeracy for invoicing
- Excellent attention to detail and document management
- Self-motivated and willing to rise to a challenge
- Must be able to use own initiative
- Ability to remain calm under pressure and achieve deadlines
- Ability to work with individuals at all levels
- Flexible and 'can do' attitude
