**Schools Administration Officer

**Grade 4**

**Contract**: Permanent post - Term Time Only + 10 days

The post holder will report to School Business Manager. Apart from other colleagues in the school, the main contacts of the job are the Headteacher, Senior Management, teaching and other support staff, pupils and parents.

**Main Purpose of the job**

▪ To provide a comprehensive administrative support function to the school.

▪ Undertake reception duties, answering routine telephone and face-to-face enquiries and signing in visitors.

▪ To be the point of contact for Management Information System (Arbor) related issues. Ensuring the school’s MIS is used to its full potential, informing school development and providing class teachers with an extensive range of information.

▪ To work collaboratively with all staff and parents in order to support pupil wellbeing and to promote the five outcomes of Every Child Matters.

**Organisation**

1 To communicate with courtesy and clarity to all staff, pupils, parents, carers, visitors, outside agencies and the wider community, including answering general telephone and face to face enquiries.

2 To assist and record keep with pupil first aid and welfare duties, including looking after sick pupils and liaising with parents and staff etc, if required.

3 To assist the Business Manager in maintaining an efficient and responsive support service to the school, ensuring expectations of high standards are met.

4 To support the Headteacher in the smooth execution of a personal diary of events and organisation in order to meet deadlines.

**Administration**

5 To maintain and update all administrative and information systems and processes as required, including retrieving and collating information to ensure deliver of a high level administrative service.

6 To produce lists, information and data as required, for example, pupils’ data and to maintain and collate pupil reports accurately.

7 Arrange school meetings and events and help undertake the administrative processes when organising school clubs, events and parents evening

8 To collect and distribute incoming mail, dispatch outgoing mail.

9 To respond independently to correspondence as required.

10 Respond to all queries from a wide range of people in an efficient and courteous manner, using initiative and creative skills to resolve issues.

11 To maintain records of stationery supplies and stock, cataloguing and distributing and holding responsibilities for procuring to an ordering level on the Financial management systems

**Resources**

12 To maintain manual and computerised records and to use IT systems effectively to provide reports and statistics.

13 To provide general advice and guidance to staff, pupils and others.

**ARBOR/SIMS**

14 To have an overview of correct and timely input of data onto Arbor by staff and to manage access rights.

15 To maintain and edit the inventory of marksheets, tracking grids, reports and templates.

16 Run routine reports for; class teachers, management and other colleagues.

**Responsibilities**

17 To ensure accuracy and confidentiality of all information produced.

18 Use initiative and time management to organise own workload in order to meet deadlines.

19 To provide administrative and organisational support to the Governing Body.

20 To be aware of and comply with policies and procedures relating to child protection, health and safety, security, confidentiality and data protection, reporting all concerns to an appropriate person as soon as they arise.

21 To be aware of and support difference and to ensure equal opportunities for all.

22 To contribute to the overall ethos, work and aims of the school.

23 To attend and participate in relevant meetings as required.

24 Help to identify own personal development needs and to participate in training and other learning activities and performance development as required.

Where the post holder is disabled, every effort will be made to supply all necessary aids, adaptations or equipment to allow them to carry out all the duties of the job. If, however, a certain task proves unachievable, job redesign will be fully considered.

**Experience**
- Experience of a high level of Administrative work.
- Experience of ordering, receiving and secure safekeeping of supplies and stocks
- Experience of general clerical, administrative and financial work in a school setting or other comparable establishment.
- Desirable experience of using Arbor/SIMS/FMS.
- Desirable experience of working in a school office.

**Qualifications/Training**
- Possess good numeracy and literacy skills.
- Possess excellent ICT skills.
