**Who will I be working for?**
Based on Milton Park, you will be working for a highly successful organisation who are pioneers in their field.
**What will I be doing?**
Reporting to the Chief Technology Officer (Research), the Admin Assistant provides administrative support to the CTO, the Research Department and the Oxford Site Team. In addition, this individual will be required to provide ad-hoc support to the ReceptionTeam to ensure coverage during periods of absence or holiday.
**Main duties and responsibilities**:
- Assists the CTO with daily administrative duties and completes a broad variety of administrative tasks.
- Provide support with all aspects of general administration including recording and updating information on the internal systems and trackers, preparing all paperwork required in advance of, or following on from, meetings drafting letters and any other correspondenceas directed.
- Managing an active calendar of appointments.
- Scheduling of meetings and co-ordinating location, timings and refreshments as needed.
- Assisting with any administrative duties as required, i.e., arranging travel, submitting expense receipts for processing and purchase orders.
- Ensuring documentation issued is always current, relevant, and appropriate.
- Administrative support to the Research Department.
- Scheduling meetings and seminars, including booking meeting rooms.
- Supporting visits from US colleagues and external collaborators.
- Organising ad-hoc events, i.e., presentations, coffee mornings/ lunches, etc.
- Administrative support to the Oxford Site Team.
- Scheduling meetings, taking notes and following up actions.
- Organising regular site events, i.e., coffee mornings, poster sessions, TGI Fridays, etc.
**What skills and experience are required?**
- Previously provided administrative support to leadership team in a fast-paced environment.
- Develop an excellent working relationship not only with leadership team but also the wider audience of contacts both internally and externally.
- Maintain a clear understanding of the leadership teams’ deadlines, priorities and objectives.
- Recorded data and maintained records with excellent attention to detail.
- Strong organisational skills that reflect ability to perform and prioritise multiple tasks seamlessly with excellent attention to detail.
- Strong interpersonal skills and the ability to build relationships with key stakeholders.
- Proficiency in Windows, including MS Word, Excel and PowerPoint.
- Ability to work independently and with professional discretion with confidential information.
- Excellent management, time-management, and problem-solving skills.
