Training Documentation Specialist

Overview:

The Training Documentation Specialist plays a critical role in creating and maintaining training materials and documentation for internal and external stakeholders. This individual ensures that training materials are comprehensive, accurate, and accessible, supporting the organisation’s training objectives and initiatives.

Key Responsibilities

Content Development:

  • Develop training materials, including manuals, guides, presentations, and multimedia content, to support various training programs.
  • Collaborate with subject matter experts (SMEs) and trainers to gather information and content for training documentation.
  • Ensure that training materials are aligned with organizational objectives, standards, and best practices.

Documentation Management:

  • Organise and maintain a central repository for all training materials, ensuring version control and accessibility for relevant stakeholders.
  • Regularly update and revise training documentation to reflect changes in processes, procedures, or technology.
  • Implement documentation standards and templates to ensure consistency and clarity across all training materials.

Quality Assurance:

  • Review and edit training materials for accuracy, clarity, and effectiveness.
  • Conduct usability testing and gather feedback from trainers and trainees to improve training documentation.
  • Ensure training materials comply with regulatory requirements and industry standards.

Training Delivery Support:

  • Assist trainers in preparing for training sessions by providing relevant materials, resources, and logistical support.
  • Develop supplemental materials, such as job aids and quick reference guides, to enhance the training experience.
  • Provide support during training sessions, including troubleshooting technical issues and answering participant questions related to training documentation.

Continuous Improvement:

  • Stay updated on industry trends, training methodologies, and technology tools for documentation and training delivery.
  • Identify opportunities for process improvements and efficiencies in training documentation development and management.
  • Collaborate with cross-functional teams to implement enhancements and best practices in training documentation processes.

Qualifications:

  • Proven experience in developing and managing training documentation in a corporate or organisational setting.
  • Excellent skills in content authoring tools, such as Microsoft Office Suite and understanding of learning management systems (LMS).
  • Strong attention to detail and ability to communicate complex concepts clearly and concisely.
  • Enthusiasm for creative design.
  • Excellent organisational skills with the ability to manage multiple projects and deadlines effectively.
  • Experience working collaboratively with cross-functional teams and subject matter experts.
  • Familiarity with instructional design principles, adult learning theory, and training evaluation methods is a plus.
  • Certifications in instructional design or technical writing are advantageous.
