Executive Assistant to CEO

Network HR have been retained to support an interesting organisation that provides skills and workforce development in the utilities industry, to support with the hire of an experienced Executive Assistant. The successful Executive assistant will provide critical PA, secretarial, administrative and communication support to the CEO and where required, the Chair and Executive Team, including managing the CEO’s diary and making arrangements for supporting agendas, papers and communications.

As the EA, you will make all arrangements in relation to the company’s Board, sub-committee, and Council meetings, preparing and distributing supporting papers and drafting and issuing minutes. You will be responsible for providing day to day guidance on the CEO’s priorities, and will co-ordinate senior leadership team meetings, recording and tracking progress against actions and providing analysis of issues and trends. Other responsibilities will include:

CEO and Executive Team Support

  1. Provide an effective diary management service, maximising the Chief Executive’s time and ensuring that the Chief Executive is appropriately briefed for all meetings and appointments, and has the necessary paperwork in advance.
  2. Prioritise workload for the Chief Executive’s approval, providing information and guidance to the Chief Executive on a day-to-day basis.
  3. Produce correspondence, documents, briefing papers, reports, and presentations as specified for and on behalf of the Chief Executive and Executive, ensuring all relevant individuals/bodies are circulated e.g. CEO Report.
  4. Support the Chief Executive in their communication activities; working closely with the communications team to plan and prepare communications/briefings both internal and external which will raise the profile of the Chief Executive.
  5. Make arrangements, prepare agendas and papers, complete minutes and track actions for senior management meetings as agreed with CEO.
  6. Undertake specified projects as requested by the CEO or Executive Team.
  7. Prepare key documents on behalf of the CEO and Executive Team members.
  8. Monitoring actions as determined by the Chief Executive.
  9. Maintaining, with discretion, the Chief Executive’s files, and information systems, including confidential and sensitive documents
  10. Manage and coordinate SLT meetings, ensuring the development and delivery of a forward-looking agenda programme.
  11. Record and proactively monitor the completion of actions resulting from SLT meetings.
  12. Collate monthly business reports (e.g.; Finance, Membership, EUIAS, Registration Services, HR, Health & Safety, IT, Sales etc)

The successful candidate will have a solid background operating as a PA or EA to a C-suite member and will be able to demonstrate excellent organisational skills. What else will you need:

  1. Experience of supporting a range of internal and external stakeholders including high level prioritising and multi-tasking.
  2. Used to dealing with extensive diary management and compiling formal and complex reports/presentations.
  3. Demonstrable experience of professionally managing confidential information.
  4. Understanding and experience of supporting formal board and committee governance meetings/structures.
