Conference and Social Events Planner

Globally renowned non-profit organisation, well established in their field for over forty years. Made up with teams across the globe across marketing, product, content, media, events and many more. They now seek an Event Planner to join a new sub-team, on a 6-month fixed-term-contract (with a view to extend till 18 months)
Direct responsibility in the overall planning, execution of meetings and events, post event recap and billing reconciliation.
Includes but not limited to sourcing location, room set up, agenda times, audio-visual, menu selections, special events, ground transfers, and VIP needs
Administer and maintain online registration systems
Interact with Travel Team to coordinate required travel itineraries
Prepare event budgets during planning and prepare final reconciliations.
Negotiate contracts and adhere to the organisations legal and procurement processes
As required, provide on-site program assistance (i.e. attend pre-con, advance all functions, confirm room set-ups, review banquet checks and assist with VIP needs)
Ideally a minimum of 8 years’ experience in event planning experience (though we consider all levels)
Strong contract negotiation skills
Strong event management experience
Proficiency in Microsoft Office programs (ie Excel, powerpoint, word)
Experience in event management solution software
Able to think critically about programs and services, and apply creative solutions appropriately.
Strong interest in building relationships both internally and externally. This role includes interacting with customers and providing quality customer service and care.
Must have ability to execute detailed plans, collect and interpret data, and prepare concise summaries
Travel involved, domestically and internationally across the globe, including weekends and holidays. Approximately 25% travel anticipated.
Adept in conference audio visual requirements and other conference systems like registration systems and latest technologies
