We have a fantastic opportunity for an organised individual to join our busy team.

As the Departmental Management Assistant, you will support the regional people leaders as necessary in day-to-day administration and management tasks. You will also oversee and action administrative tasks relating to finance matters for the team’s fee earners while insuring you are managing the regional PA team. There will be attendance required from time to time across our 4 offices.

We are looking for a candidate with:

Experience in managing multiple and tight deadlines.

Strong communication skills both written and verbal.

Experience in managing individuals at all levels.

Ability to see the wider picture and understand the strategy

Experience in forward planning and being able to plan accordingly.

Experience of working in a fast-paced environment and under pressure.

Ability to provide leadership and influence via excellent communication skills.

Ability to work independently and proactively.

Good understanding of how a large law firm operates and importance of client service delivery.

Your key accountabilities will include:

  • Organise formal and informal departmental and other management meetings required by HOD/People Managers
  • Prepare agendas, minutes and action lists.
  • Meet with People Managers on a monthly basis, to discuss any specific support needed.
  • Supporting Marketing/Business Development with any events as required.
  • Managing a team of 6 PA’s regionally including a legal administrator, ensuring they are being utilised to the maximum potential.
  • Assisting HOD/Team Leaders with specific budget tasks and/or the annual team budget.
  • Ensure completion of file audits.

Monthly Billing

  • To review matter lists for the fee earning team monthly
  • Prepare fee earner monthly fee estimate (pre HOD meeting) and circulate to HODs and Regional HOD.
  • Undertake quarterly reviews with individual fee earners to identify and action financial management tasks.
  • Ensure any bills are reallocated for approval in the absence of supervising partners or team leaders.

WIP

  • Undertake monthly review of departmental WIP ledger.
  • Conduct regular WIP reviews, queries arising and actioning any write offs associated with this in a timely manner.
  • Monitor unbilled disbursements and actively follow up with fee earners.
