The Assistant Facilities Manager is responsible for the Operational Service Delivery of Total Facilities at three Sites reporting into the Area Site Manager for the region.

The services Mitie provide in this location include Cleaning, Workspace administration, Porterage, Mail services, Event planning, Hospitality, Security Guarding, Reception and Mechanical & Electrical maintenance.

The Assistant Facilities Manager will be expected to manage, plan and direct all works within their area of responsibility in order to meet the client's expectations as outlined in the site specific schedule of works ensuring delivery is in line with contractual requirements. They will also be expected to work within Mitie strategies, policies and procedures.

Essential qualities include excellent organisational and time management skills with the ability to prioritise and plan effectively within the workspace. This is a client facing role, so the ability to manage client relations as well as the day-to-day management of an operational team within a TFM environment is important.

We will need you to be capable of driving projects forward to completion and ensuring a good standard of work is delivered. Experience with KPI reporting, sub-contractor management and HR processes is essential. Also knowledge of FM integrated Management Systems, CAFM Experience, and PPM compliance is required.

This position is subject to obtaining DV Security Clearance, so if you have previously held security clearance in the past this would be beneficial.

In this role, you will be entrusted with a range of responsibilities. Firstly, you will be expected to oversee the procurement of services. This task must be carried out in accordance with the contractual obligations of the account. This means ensuring that all services procured align with the terms and conditions stipulated in the contract.

Secondly, you will be in charge of people management. This includes managing direct reports and all staff on site. A key part of this role involves conducting annual appraisals and reviews to assess performance and provide feedback.

Thirdly, you will be responsible for managing both Hard and Soft service teams. Your role will be to ensure that these teams comply with all statutory and contractual obligations. This involves monitoring their activities and providing guidance where necessary.

Another important aspect of your role will be to ensure that all Planned Preventive Maintenance (PPMs) tasks are completed within the specified period. A key priority should be given to statutory maintenance tasks at all times.

Furthermore, you will need to ensure that all operatives work according to the task cards that are in place and embedded. This means ensuring that everyone is clear about their roles and responsibilities and that they are carrying out their tasks correctly.

Lastly, you will be expected to ensure compliance with all Safety, Health, and Environmental Regulations, Procedures, and Plans. This involves making sure that all information is complete and kept up to date. This is crucial for maintaining a safe and healthy working environment.
