The Office Facilities Coordinator ensures the office runs smoothly, manages daily activities and is the first point of contact for all visitors. The goal is to ensure that office operations are efficient and add maximum value to the organisation.
Ensure the smooth, safe, and efficient running of the office, maintaining a clean, organized, and welcoming environment for staff and visitors
Act as the first point of contact for guests and coordinate meeting room bookings, setups, and hospitality for internal and external meetings or executive visits
In collaboration with the Regional Facilities Manager, Europe, oversee compliance with Health Safety, Fire, and First Aid requirements, including inductions, risk assessments, safety checks, and record keeping
Liaise with the landlords and other external providers with regards to contractors, cleaning, maintenance, security, plant, and waste services to resolve any property management issues
Monitor and manage office supplies, mail handling, and subscriptions (e.g., Manage access control systems, staff security passes, and car park registrations
Support organization of office and corporate events, ensuring spaces and common areas remain clean, orderly, and compliant with safety standards
Raise purchase orders and process office-related payments as required
Perform regular inspections of office facilities, promptly addressing issues and maintaining an efficient, positive workplace environment
Undertake other administrative or facilities duties as directed by management
This position directly reports to the Regional Facilities Manager, Europe.
Good knowledge of MS Office
Pro-active with ability to work well without supervision
Working knowledge of office equipment
Excellent time management skills; Fluent in English written and spoken is a must
