Supported by an external technology solution provider, the IT Operations & Systems Manager will uphold the reliability and security of our IT systems, enabling overall business operations and strategic objectives. This role involves managing day-to-day IT operations, coordinating with external vendors, leading IT projects, and bringing expertise in service desk management and end-user computing. A commitment to enhancing security, user satisfaction, and staff training, along with adapting to evolving organisational needs, is crucial. Additionally, the role includes expanding the company's social media presence and staying current with technology trends.

Key Responsibilities

IT Support and Maintenance:

  • Act as the first point of contact for all IT support requests within the practice, both internally and externally.
  • Install, configure, and maintain software and hardware for the computer network systems.
  • Diagnose and troubleshoot software and hardware issues.
  • Maintain, repair, or replace computer and network components.
  • Ensure client and server computer security by installing and upgrading antivirus and security systems, following practice protocols or legal requirements.
  • Facilitate secure remote or mobile computing, ensuring access to corporate resources while maintaining productivity and data security.
  • Monitor system performance, network traffic, and security to identify and address potential issues before they impact operations. Implement performance tuning and optimisation strategies.
  • Perform regular system audits and risk assessments to ensure compliance with evolving security standards.
  • Develop and implement disaster recovery and business continuity plans to ensure critical systems and data can be recovered in case of a failure or disaster.

Documentation and Reporting:

  • Produce and maintain clear, accurate, and accessible technical documentation.
  • Keep internal support tickets updated and coordinate with external support providers for efficient issue resolution.
  • Prepare reports for management review and record Service Level Agreements (SLAs).

Asset Management:

  • Track and manage assets loaned to employees, including mobile devices, screens, and computers.
  • Oversee the setup, maintenance, and user training for mobile devices (iPhone, iPad, Android).
  • Support users and manage the phone system.
  • Maintain the Fixed Asset Register and prepare annual reports for Directors.

Training and Development:

  • Facilitate and lead IT workshops to enhance staff knowledge and skills, ensuring all team members are well-equipped to use the organisation's technology effectively.
  • Assist in training programmes supporting IT development.
  • Continual professional development is expected and supported by the company.

Strategic IT Development:

  • Assist the Directors and Practice Business Manager in developing and implementing an IT strategy.
  • Review and update IT policies to ensure they align with current best practices and regulatory requirements.
  • Coordinate the setup of new office locations, including planning, procuring IT equipment, and ensuring a smooth transition.
  • Set guidelines for evaluating IT systems and identifying areas for improvement.
  • Coordinate with external vendors and service providers to procure IT equipment, software, and services. Manage vendor relationships and ensure SLAs are met and contract documentation is accurately recorded.
  • Build relationships with equipment manufacturers and service providers.
  • Prepare annual IT budgets and projections, including equipment, licenses, and software purchases.
  • Enhance and promote the practice's online presence, including the website and social media.

Continuous Improvement:

  • Promote a culture of continuous improvement, innovation, and efficiency in IT operations.
  • Develop and monitor key performance indicators (KPIs) for IT operations effectiveness.
  • Maintain high levels of cyber security accreditation.
  • Implement best practices and optimise workflows to enhance service desk efficiency.
  • Prioritising regulatory and legislative changes.

Essential Skills Matrix:

  • Proven experience in managing IT operations & systems.
  • Relevant IT qualifications.
  • Knowledge of Microsoft Windows, iOS, and Android operating systems, with the ability to reinstall them as needed.
  • Proficiency in Microsoft Office Suite and understanding of version control.
  • Basic programming skills, including VBA and Batch scripts.
  • Experience with internet and network technologies. LAN/WAN, VPN firewalls, routers, switches, wireless access points.
  • Strong problem-solving, trouble shooting and analytical skills.
  • Proficiency in technical documentation control.
  • Strong communication and interpersonal skills, with the ability to collaborate effectively with various teams and departments.
  • Motivation to work independently and take initiative.
  • An ability to maintain excellence and deliver innovation.
  • Full UK driving license.

Desirables: (candidates will stand out if they have some of these attributes)

  • ITIL, CompTIA Security+, and relevant vendor-specific certifications.
  • Bachelor's Degree (or degree equivalent) in a related subject.
  • Any MCSA, MCSD, MCSE certification or other Microsoft role-based certifications.
  • Experience working with engineering design software; AutoCAD, AutoCAD LT, ZWCAD standard, Revit, Tekla Structures, Microdrainage WinDes, PDS (plus sign and line), xpsite 3D, civils 3D, SCIA Engineer, CSC Fastrak Portal Frame Designer 7-Span, CSC Fastrak Connection designer, Tekla TEDDS for word, Tekla Structural Designer, Multi-Suite, Autodesk Trueview
  • Cyber Security Accreditations or Qualifications.
