The Event Coordinator plays a crucial role in ensuring the successful planning and execution of events within the football club's event suite, bar and grounds.
Overview:
The Event Coordinator plays a crucial role in ensuring the successful planning and execution of events within the football club's event suite, bar and grounds. This position involves coordinating various aspects of event management, from booking to execution, to create memorable experiences for guests, fans, and stakeholders.
Responsibilities:
1. **Event Planning and Organization:**
- Collaborate with relevant stakeholders to plan and organize events held within the football club's event suite, bar and grounds.
- Ensure seamless execution of events, including matchday hospitality, corporate functions, fan engagement activities, and special occasions.
2. **Booking Management:**
- Handle all aspects of event bookings, including scheduling, budgeting, terms and conditions, and payment records.
- Communicate booking details to event staff to ensure effective delivery for both the club and clients.
- Conduct regular weekly updates to keep all parties informed.
3. **Guest Experience:**
- Coordinate the guest booking experience:
- Take bookings for corporate events, private functions, and other gatherings.
- Send RSVPs, corporate tickets, and invitations to guests.
- Manage ongoing guest communications, addressing any inquiries or special requests.
4. **Venue Logistics:**
- Work closely with facilities management to ensure the event suite is prepared and set up appropriately.
- Arrange seating, catering, audio-visual equipment, and other amenities as needed.
- Oversee event logistics, including transportation, parking, and security.
5. **Marketing and Promotion:**
- Collaborate with the marketing team to promote events effectively.
- Communicate event details to the public, including ticket availability, pricing, and deadlines.
- Utilize various channels (website, social media, email) to reach fans and potential attendees.
6. **Relationship Building:**
- Cultivate positive relationships with clients, sponsors, and partners.
- Foster strong connections with fans and supporters attending events.
- Represent the football club professionally at all times.
#### Preferable experience/qualifications:
- Bachelor's degree in Event Management, Hospitality, Marketing, or a related field.
- Proven experience in event coordination, preferably within the sports industry.
- Excellent communication skills, both written and verbal.
- Strong organizational abilities and attention to detail.
- Ability to work collaboratively in a fast-paced environment.
- Knowledge of football and passion for events.
