OSSTEC OSSTEC is a MedTech start-up founded in 2021, developing bone healing orthopaedic devices to ensure that patients remain healthy, active and enjoying life. OSSTEC is developing additive manufactured biomimetic implants to reduce implant failure and simplify surgeries. This vision is backed by funding from VCs and the UK government. Our team combines extensive experience developing implants/instruments, global key opinion leader surgeons in clinical and surgical backgrounds and founders with previous successful exits. OSSTEC’s patented technology builds on 10 years of research at Imperial College London and 25 peer-reviewed papers, making us world leaders in additive manufacturing for orthopaedics. As we gear up for our commercial launch in the USA and UK, we are seeking a dedicated and dynamic Executive Assistant to join our team. This role offers a unique opportunity to be part of a transformative phase, working with cutting-edge technology and contributing to impactful healthcare solutions. The Role As an Executive Assistant, you will be a vital member of the management team, providing professional and confidential support and assistance with administrative, analytical, and organisational tasks. You will work very closely with the CEO and also with the wider team at OSSTEC. Your responsibilities will include diary management for the CEO and CTO, HR duties, financial admin, contract logistics, travel arrangements and broader administrative. The role offers exposure to leaders from industry, academia, investment and clinical ecosystems. For the right candidate with more experience, the role can be extended to integrate strategic and operational responsibilities as a Chief of Staff. This position is ideal for someone looking to make their next career move and who possesses strong administration, communication and organisational skills. Your Responsibilities This is a wide-ranging role that focuses on coordination, operational delivery, and managing confidential information. The successful candidate will be an excellent relationship manager, able to build rapport quickly. Executive Support and Communication Management:

  • Proactively manage the diary for the CEO and CTO, scheduling meetings, developing agendas, conferences and travel.
  • Attend meetings with the CEO, take accurate minutes, and distribute comprehensive meeting notes to participants, ensuring action points are captured.
  • Prepare and coordinate materials on behalf of the CEO for meetings, presentations, conferences and events.
  • Support management team with communications, including OSSTEC’s website and preparation of newsletters, presentations and correspondence related to investor updates and board meetings.
  • Manage external partners relating to financial duties, PR, social media, HR and comms.
Financial, Contracts & Administrative Support:
  • Prepare and reconcile expenses.
  • Implement relevant processes and manage financial operations such as ordering goods, raising purchase orders and releasing invoice payments in a timely manner
  • Assist with budget tracking and financial reporting as needed.
  • Assist external partners with managing contracts including MTAs, NDAs etc.
  • Perform HR duties, including managing employment contracts, documentation, equipment, payroll, onboarding, induction and holidays.
  • Support operational management between OSSTEC and Imperial College London.
Travel, Logistics & Office Management:
  • Book transport and accommodation, developing detailed itineraries for travel.
  • Manage all travel and accommodation arrangements for the team.
  • Support office manager duties, ensuring a great working environment.
  • Meet and greet visitors at all levels of seniority and support the induction process for new team members.
  • Organise internal events and team-building activities.
Ideal Candidate Profile
  • 5+ years of experience as an Executive Assistant to an Executive or as a Chief of Staff, preferably with exposure to product development or manufacturing and in a startup.
  • Exceptional organisational and time management skills with the ability to prioritise multiple tasks seamlessly with attention to context, substance, and detail.
  • Expert written and verbal communication skills, with high proficiency in Microsoft Office suite and other relevant technologies.
  • Passionate about improving the world with science and motivated by the opportunity to build a world-changing organisation.
  • Demonstrated ability to achieve high performance goals and meet deadlines in a fast-paced environment without constant direction.
  • Strong leadership skills with a proactive attitude, suited to a fast-paced environment.
  • Ability to handle confidential information with discretion.
  • Comfortable with uncertainty and able to thrive in dynamic, high-stakes situations.
  • Able to anticipate needs, think multiple steps ahead and adapt to changing priorities.
  • Willingness to travel as required.
  • Desirable experience: working in a startup, in MedTech or within a university ecosystem.
