In this role, you'll be at the centre of how the Stafford site connects and communicates. You'll work with site leaders, HVDC PDG comms relays, and our admin teams to keep messaging clear, engaging, and fully aligned with GE Vernova's global brand. You'll also play a hands-on part in planning and delivering a wide range of events — from site visits and leadership walkdowns to quarterly onboarding sessions and team gatherings. Your work will help create a positive, unified experience for employees and visitors across Grid Systems Integration. Alongside communications and event support, you'll provide essential administrative coordination to keep things running smoothly behind the scenes. Responsibilities Job Description Update and Maintain 2 x Databases (Achilles and Constructionline) Accurate and timeous completion of external databases by using network of contacts within GE Vernova to inform data. Checking and maintaining this data as certificates / information expires. Request renewal insurance certificates via GE Vernova systems. Liaise with Achilles & Constructionline teams to gain full understanding of questions to ensure all data is 100% correct and accurate. Create and maintain user access to these sites. Support for Ad-Hoc Pre-qualification Questionnaires Set up and maintain log of useful data / information to assist sales colleagues with pre-qualification questionnaires. Set up shared log of frequently asked questions and responses. Maintain data by regular checking and updating information where required. Act as point of contact for all business lines under UKGSL umbrella in relation to commercial activity. Act as point of contact for Achilles, Constructionline and other external organisations in relation to UKGSL data / information. Raise Annual Requisitions Raise requisitions for annual membership to various companies (Achilles, Constructionline, IET, BEAMA etc.). Keep track of when renewals are due and raise timely requisitions, chasing for approvals, where required, to ensure purchase orders are created and sent to suppliers before memberships expires. Annual Audit Support Support team with organising annual Achilles audit. Collating data, making payment for audit and liaising with stakeholders to ensure preparation is done. Act as point of contact for all. Set up shared folders for relevant contacts to upload required information. IET Dinner Pay for, plan and organise the annual IET dinner event in London (every June). Liaise with sales colleagues to gather number of tables required and create generic invitation. Chase colleagues and customers for responses to invites and dietary requirements. Arrange payment with IET and liaise with their team to ensure event runs smoothly. Board Meeting Support Arrange bi-weekly board meetings. Liaise with Oakwood (company secretary) to prepare minutes and supply all relevant information prior to meeting. Check calendars of board to ensure quorum available to attend. Follow up actions after meetings and pass closure details to Oakwood. Support board with ad-hoc requests (for example, provision of documents for notarisation). Ad Hoc Provide general administration support to Employee Resource Groups (ERG) in Stafford (i.e. Women's network, PRIDE alliance etc.). Maintain email distribution list for Women's network group. Assist with event planning for ERGs. Provide admin support to the facilities team as required, acting as a point of contact, taking messages, chasing colleagues for actions and updating internal customers of progress against work requested.
