JOB DESCRIPTION

Post Title : Office Administrator

Responsible to: Chief Executive Officer

Hours; Full Time (37.5 hours per week)

Salary: £20,000

Location: Morecambe FC Community Sports Offices

Job Purpose :

The post holder will contribute to all aspects of the team’s administration functions by providing the highest levels of support and customer service to the wider club and stakeholders.

To provide administrative support to senior management, including organisational support for projects involving liaison with staff, the wider club, and external stakeholders.

To provide administrative support for the charity’s events and services including Soccer Schools, competitions, open days, and presentation evenings. This will include attendance.

To undertake the management and maintenance of the charity’s data collection processes to be able to provide accurate information for various statutory returns and internal reporting

Main Duties and responsibilities

To provide administration support associated with recruitment and induction of staff.

To minute meetings as required

To reconcile monthly cash payments and banking

To record expenditure and provide accurate information to enable the charity’s accounts to be produced

To monitor scrutinise staff time sheets and support the payroll process

To update staff training records and highlight any renewals due

Produce invoices for charity’s debtors by the agreed deadlines and chase up any outstanding payments

To manage all incoming admin e-mails, phone calls and in person enquiries and provide appropriate, timely responses

Contribute to the co-ordination, production and review of the charity’s policies, procedures, and processes.

To monitor the storage of sensitive data to ensure GDPR compliance

To input data on to various external software systems for reporting purposes

To collect and collate data from the team to support quarterly reporting

To provide administration for all match day activities including bookings and payments

Liaise with service providers / contractors to ensure all I.T and office requirements are met.

To expertly operate computerised systems and applications including Microsoft Word, Excel, Access, PowerPoint and Outlook. This will include data inputting

To produce and format documentation required for the charity

To be responsible for the office filing system and to maintain archives. To ensure confidential waste is disposed of.

To be responsible for the maintenance of office equipment and supplies

Person Specification

Experience / Knowledge

At least 2 years’ experience of working as an administrator

Exceptional use of Microsoft Office applications

An excellent communicator with high standards of customer service skills,

Well organised with good time management skills

Ability to meet deadlines

An understanding GDPR regulations

Additional Requirements

A minimum of 3 GCSE’s at Grade 5 or above including Maths & English or equivalent experience

Full driving license and access to a vehicle

Commitment to continuous professional development and willingness to undertake training where necessary.

A flexible approach to working evenings, weekends and match days

To complete an enhanced DBS check
