The Role (What)

Soben is a rapidly growing, entrepreneurial professional services group which is expanding across the Globe. We have reached 250 people and are continuing to grow.

As we grow and continue our journey to 1000 by the end of this decade, we are always looking at ways to increase and enhance the services we provide to our clients.

Soben’s clients are Tier 1 Main Contractors and Blue-Chip international client organisation who build and shape the built environment around us. The nature of the specialist services business is high volume fast moving commissions that generally last between 3 and 4 weeks

The role of EMEA Business Administrator will enable us to have a dedicated resource that will be at the forefront of the activity required to support the directors of the business with all administration duties.

The role will be a full-time position that is responsible to the directors of the business unit.

Key Responsibilities

Key Objectives (What)

  • Arrange meeting and minute taking
  • Provide ccompliance support - Achilles/Construction Line/client portals etc
  • Prepare forecast – based on pipeline (note cost aspects provided by others)
  • Support client interactions
  • Travel arrangements
  • General office management - contact point for deliveries/post, onsite office facilities, maintenance etc
  • Document control and management,
  • Systems/Bid admin support - e.g. for CMAP, Xero, Bibby audits/requests (invoice discounting provider), preparation of info for bids etc
  • Xero updates – new client details, Xero quote management
  • Support with CMAP (WIP management system) – project set up and reporting
  • Timesheet reporting
  • End of project Surveys
  • Expenses

  • Work closely with EMEA Directors
  • Maintain and uphold quality and process standards
  • Ability to manage competing priorities
  • Ensure consistent approach to service delivery
  • Use initiative to identify areas of risk and implement measures to correct
  • Provide necessary support to EMEA MD
  • Prepare monthly reports
