ROC Clinic is a healthcare provider operating from premises based in Westhill area of Aberdeenshire.

We provide private GP, specialist, diagnostic and occupational health services.

We are recruiting for one Front of House staff for the Outpatient Department, on Full time basis to join the team.

Working hours are Monday to Friday mostly between 8-6pm, but early morning, evening shifts and Saturdays may be required.

The Front of House Executive (FOH Exec) shall work alongside clinical staff, such as doctors and nursing staff and you will be reporting to the Floor Coordinator/ Supervisor. This role includes half a day training alternate weeks, on a rota basis with the other staff. Career progression opportunities are available.

You will ensure the smooth delivery of services in Outpatients and maintain an efficient patient flow, by providing welcoming, check in and check out services. In addition you will support clinicians with any operational support they may require during clinics.

The primary function of this role is to ensure that all patients visiting the Outpatients Building receive a first-class service, every time. Paramount to this is managing the overall flow of patients within the building.

Duties and Responsibilities:

• Responsible for a smooth patient journey from arrival to exit. This involves working closely with clinical, secretarial, billing, bookings and other operational staff.

• Opening/Closing of the Outpatients building

• Daily opening/closing checks in line with existing process

• Reporting of any facilities concerns such as cleaning, maintenance to the designated person; taking action to ensure health and safety is preserved

• Ensuring the rooms are ready to receive clinicians & door signs are in place

• Placing of clinical staff trays or any post in appropriate rooms ready ahead of their arrival

• Undertaking advance preparation for clinics

• Welcoming patients into the building, handing over forms/ kits as appropriate

• Providing teas/coffees for patients and doctors on arrival and as appropriate during their visit and ensuring sufficient supplies are kept of each

• Electronical patient flow updates

• Ensure patients receive appropriate information in respects to their attendance or future planned ones

• Ensuring any outcomes from consultations taking place are actioned (being certificates, external bookings, follow up consultations, liaising with medical secretary etc)

• Offering information on services and facilitating the booking of return appointments

• Scanning and updating electronic or paper files and general administrative duties

• Liaising with onsite contractors, delivery drivers, couriers, patients, or clinicians

• Undertaking Fire Safety and other HSE Checks

• Promoting and maintaining building standards in relation to tidiness and cleaning

• Supporting other teams as required

• Any other duties as assigned to you from time to time to support the smooth running of the building

Person Specifications:

  • Prior experience in a Front of House role
  • Prior experience of healthcare setting is desirable
  • Positive attitude and demeanor
  • Excellent customer service skills.
  • High attention to detail.
  • Sympathetic and caring: patients can sometimes be anxious or worried, a caring and sympathetic attitude is most important.
  • Discreet approach; the nature of our work is confidential and often sensitive. When speaking with patients a discreet approach is required.
  • A willingness to pitch in and work outside of the core responsibilities of the role; we are a small team and we all work as needed from time to time.
