A vacancy has arisen for a full time Administrative Clerk to join our Customs Clearance Team at Dunbia Llanybydder site.

This role will be part of the Group Customs Clearance function and will be part of and interact with the team across the UK and Ireland. The role will require flexible working time, be on a Rota, and typical support will be required in line with the operational and customs cycles.

The Role:

  • Liaise with sites & agents to schedule site / agent bookings within agreed timelines.
  • Collate required paperwork from each site, review and query if necessary, before submitting to the relevant customs agent.
  • Upon receipt of paperwork from the agents, review & distribute to sites and hauliers as necessary.
  • Ensure deviations from agreed timelines are communicated to the necessary contacts.
  • Ensure queries from agents, sites and hauliers are actioned, remedied and communicated as necessary and in a timely manner.
  • Plan, forecast & schedule routes / loads with the site and agent teams.
  • Assist with the formulation of new / revised SOPs and procedures, providing the appropriate levels of communication and training to sites, as necessary.
  • Assist with customs, veterinary invoicing administration as necessary.
  • Handle a high volume of emails and information in a time critical manner.
  • Process and input accurately, all data required to facilitate customs clearance.
  • Coordinate the agreed process for Document Control.
  • Communicate all despatch & customs documentation in a timely manner.

  • Ability to pick-up tasks quickly, embracing and adapting to change in a calm manner.
  • Pro-active nature to resolving tasks and issues.
  • Be fluent in English,
  • Ability to work in a fast-paced environment, using own initiative and / or as part of a team.
  • Ability to work in a fast-paced environment in an efficient and calm manner.
  • Ability to be organised & efficient.
  • Must have the ability to prioritise.
  • Possess strong Microsoft Outlook, Excel and Word skills.
  • Be a good communicator (spoken & written)
  • Experience using an ERP system would be beneficial.
  • Ideally possess a knowledge and understanding of logistics, particularly associated with Exports.
  • Ability to record and input a high volume of data in an accurate, efficient, and timely manner.
  • Experience dealing with Customs Documentation is desirable but not essential as training will be provided
  • Be committed to working within the Company Values.
  • Have a minimum of 2 years experience in an fast paced administrative role.
