We have an exciting opportunity to assist our Event Manager with our full and varied programme of events and concerts at Ely Cathedral.

Your role will be to support the Event Manager with event preparation and associated administrative tasks, including running the box office and ticketing services for each event. The role will also include on-site event management, so the postholder will be required to work some evenings and weekend days each month, on a rota basis.

The ideal candidate should have excellent customer service and communication skills and previous experience in event / concert management, along with strong administrative skills, including a good working knowledge of databases and excellent attention to detail.

Overview
In addition to being a Christian place of worship and a major visitor attraction, Ely Cathedral serves as a cultural focal point for East Anglia by providing a unique venue for the arts which includes exhibitions, concerts and theatre productions. In 2023 the Cathedral hosted over 60 dry hire bookings from celebrity book launches to music recitals plus several large scale events including the Christmas Fair and an exhibition of film costumes. This is a relatively new position to support the Event Manager in the successful planning and implementation of the concerts held in the Cathedral in addition to some support with the larger scale events.

This is a busy and exciting role which will combine event preparations and on-site event management, event management admin and box office and event ticketing services. This will result in the need to work some evenings and some weekend days. All ‘out of hours’ duties will be shared across the team.

As this is a significant customer facing role, the successful candidate will be adept at dealing with event attendees, third party hirers and contractors and ensuring all stakeholders are communicated to on a regular basis.

The post holder will need excellent administrative skills as the role includes event communications, digital marketing, meeting organisation and creating event schedules. As the role will include access to personal data and mailing lists, GDPR training will be provided.

The following sets out the key responsibilities and requirements for this role. You may be required to perform further duties other than those specified below. Any significant change to this job description will be by agreement with the post holder.

Responsibilities:
• Direct liaison with third party concert hirers and internal requests stakeholders from initial enquiry to delivery of the event to ensure the smooth running of concerts. This will include ensuring all documentation is in place including contracts, risk assessment(s) and public liability insurance.
• Upload event tickets to the Spektrix system as required and produce associated reports for invested parties.
• Onsite event management and box office cover during events as required.
• On site set up and take down during events as required. This will require some evening and weekend work.
• Liaising with the Visitor Services Assistants to ensure they have all the relevant concert/event information to enable them to respond to any enquiries.
• Work with the Marketing and Digital Media Officer to support the promotion for concerts including social media, digital marketing, poster distribution etc.
• Organise meetings with both external & internal stakeholders.
• Oversee the Events Concert Calendar and ensure all events are correctly diarised.
• Comply with the Cathedral’s incident and accident reporting procedures and assist with the effective evacuation of the building in the event of an emergency, in accordance with procedures.
• Other duties and responsibilities which may arise as part of the role and are commensurate with the level of the post.
• Uphold and comply with the organisation’s Policies and the Law in relation to Health & Safety, Equal Opportunities, Safeguarding, Data Protection and other adopted Policies and Procedures as required.

Key Skills & Requirements:

  • Highly personable with exceptional communication skills.
  • A good working knowledge of databases and proficient IT skills.
  • Proven experience of concert/musical event delivery preferable.
  • Good organisational skills and the ability to multi-task effectively.
  • Excellent attention to detail.
  • Understanding of key performance indicators in concert/event management.
  • Excellent customer service skills and the ability to respond to telephone and email requests in a polite and appropriate manner.
  • A good team player, able to work collaboratively with the direction of a range of colleagues and clients.
  • Able to use own initiative and work with minimal supervision.
  • Have the stamina and capability to assist in what can be a physically demanding role.
