Description of Job

The post-holder will assist the Operations Manager in the maintenance and letting of church premises, prepare material for operational tasks, and provide administrative assistance to the Financial Controller.

Key tasks:

1.Site maintenance

Assisting the Operations Manager in maintaining the Church Premises, Birchwood Centre and Church Properties

§Undertake routine inspections of the Church Premises, making sure they are functional, secured, and well-maintained

§Undertake reactive remedies within capability as issues develop and alert the Operations Manager when additional help is necessary

§Procure routine church, office and Birchwood supplies

2.Managing the use of the buildings

Assisting the Operations Manager in enabling the smooth running of the ministries and events that take place in the buildings

§Under instructions from the Manager, meet with potential hirers of the Birchwood Centre and show them the Birchwood site if necessary

§Set out and clear away furniture, equipment and other items when required in connection with services, small group evenings, guest events, meetings etc.

3.Documenting operational practices

Assisting the Operations Manager in writing documents and / or producing videos so that current operational practices can be shared with staff and church members, both in the present and in the future

4.Providing administrative assistance to the Financial Controller

  • Assisting the compilation of reports from financial intermediaries and counting and depositing cash/cheques into Bank Account
  • Performing monthly bank reconciliation on SAGE50 and maintaining Excel Sheets for Direct Debits & Credits
  • Recording transactions in SAGE50 Accounting system including donations, bank credits, expenses, direct debits, and credit card transactions

Person Specification

§Good personal telephone and email manners

§Literacy in written and spoken English, such that the person can give and receive instructions, communicate with suppliers, contractors, neighbours and other external contacts.

§MS Word and Excel

§Numeracy such that the person can help the Church to achieve best value for money

§Be supportive of the Christian ethos at St James Muswell Hill Church

§Ability to work alongside others demonstrating the principles and behaviours that is appropriate as a worker of a Christian church

§Experience of supplies management

§Experience of buildings management and hire

§Knowledge of SAGE or any other accounting packages

§Regular attendee at a local church

§DIY experience in basic tasks, sufficient so as to make basic fixings or effect simple repairs

Key attributes required for success in the job:

§Physical fitness sufficient to undertake the tasks required safely, including the use of step ladders

§Self-motivation and ability to work unsupervised as well as part of a team

§Honesty and integrity

§Diligent with an eye for detail and willingness to take on a variety of tasks

§Patience and courtesy with the church family, contractors, users of the buildings and the general public
