OPERATIONAL EXCELLENCE

Our Operations Executive will play a core role within the Operations Team supporting both of the businesses across all departments driving best in class admin and customer service standards. You’ll use your communication and organisation skills to build and develop strong relationships that will influence a cross functional continual drive in performance improvement and accuracy within the company ensuring all deliverables are met.

THE ROLE

Customer Relationship Management (CRM) system

· Data Steward for the CRM ensuring the information is accurate and reliable

· Gather and document business processes and best practice, advise on future state improvements

· Managing the development and customisation of the Microsoft Dynamics 365 environment to align with business needs and requirements working with third party IT consultants.

· Acting as the primary contact for Microsoft Dynamics internally, offering daily support to super users and commercial team members, and ensuring best practices through Definition Handbooks, Quick Start Guides, and user training

· Analyse and monitor data quality and assist with segmentation opportunities

· Developing reporting dashboards for Senior Management to measure and log best practice of CRM use as well as creating sufficient dashboards for the team

· Building effective relationships with all stakeholders across the business


Education


· Onboarding and managing students & their studies

· Build of qualification content & material in Learning Management System (LMS)

· To assist with student interaction, to support to help them complete their qualification/course and provide excellent customer service

· Provide progress reports where required

· Schedule 1-1’s with relevant tutors and students where required

· To deliver students results in a timely manner

· To continuously improve processes


ACT System


  • Supporting the ACT team with ensuring Customer Success
  • Supporting Account Managers with reporting and queries
  • Continuously updating the CRM and ensuring alignment with the ACT system
  • Onboarding Clients
  • Liaising with memberships to ensure members are fulfilled


Other

· Card Payments – Taking card payments when necessary.

· Visit Venues / Attend Events across the country

· General Office Support



Skills Required for our Ideal Candidate

· Experience using CRM systems in particular Microsoft Dynamics 365

  • Ability to represent data accurately
  • Experience with Learning Management Systems
  • Adept at business requirement analysis with a focus on reducing development effort and simplifying delivery
  • Excellent presentation and demonstration skills
  • Excellent communication skills - both verbal and written with the ability to communicate effectively at all levels of the business and with customers in a clear and concise manner
  • Excellent attention to detail
  • Motivated self-starter with the ability to plan and prioritise your time effectively and efficiently
  • Organisation and planning - plans, organises and schedules in an efficient manner, focuses on key priorities
  • Confident communicating with various team members and stakeholders
  • Organised and able to manage calendars, meetings, and documentation
  • Collaborative team player and can work effectively within a team and across several departments
  • Ability to thrive in a fast-paced environment and adapt to changing priorities and tasks
  • Creative and willing to take on various projects and responsibilities
  • Maybe be required to travel to different locations including HQ
  • Computer literate with strong Microsoft Office skills, in particular Advanced Excel and PowerPoint
  • Ability to remain calm and work in a dynamic and fast paced environment

Skills Required for our Ideal Candidate


  • At least two years’ experience of working in a relevant role
  • The ability to work independently but know when to consult with senior colleagues
  • Proven ability to develop and maintain strong relationships with clients
  • English as a mother tongue or total proficiency in both spoken and written English
  • The ability to deal with complex itineraries and multi-task
  • The ability to prioritise and work to deadlines
  • Good judgement and initiative
  • Highly organised and adaptable
  • A good team player, willing to go the extra mile to support colleagues



Salary & Benefits


Basic Salary:

· From £28,000 (Dependant on Experience)

Probation:

· 3 Months

Holidays:

· 25 days, plus all Public Holidays (After successful completion of probation)

Hours:

· Monday to Thursday - 8.00am – 5.00pm

· Friday - 8:00am – 4:30pm

· 1 hour unpaid lunch break each day

· 39.5 hour working week
