Role summary:
The Growth Business Support Manager (GBSM) is responsible for directly supporting the Chief Growth Officer, supporting the development and ongoing performance of the growth function within First Bus, and leading and tracking projects within the growth function.
The GBSM role will be varied, covering:
- daily executive support, including highlighting emerging tasks and issues, undertaking actions and following up on the CGO's work each day
- coordination and communication with external parties on behalf of the CGO
- supporting the development of the Growth SLT, including establishing regular meetings and workshops, meeting/event design, coordination and liaison
- project management of internal facing projects relating to areas such as recruitment, capability development, process development, compliance and other internal projects within the Growth function, or projects within First Bus which growth is a part of
- coordination of Growth related actions from First Bus Exec and First Group BRM and any external meetings attended by the CGO or requiring their action
- the development and sourcing of content and data from within the business for documents including papers, reports, speeches and slide packs for internal and external meetings
- other reasonable tasks necessary to support the performance and development of the growth function
The role holder will also need to work collaboratively with the First Bus Executive Office / Personal Assistants to support the Chief Growth Officer in their daily duties, strongly contributing to increasing their productivity and ensuring they maximise their time on tasks to support delivery of the First Bus strategy.
Experience of running bidding and transformation portfolios is required.
Working flexibly and travelling as and when required, the GBSM will act as a confidant and sounding board to the Growth SLT, tracking the development and progress of the Company's growth portfolio, whilst highlighting emerging tasks and issues, and ensuring appropriate stakeholder actions are delivered.
The role holder may be required on occasion to stand in for the CGO in certain meetings/activities and act as their ‘proxy' by asking relevant questions and providing guidance based on prior briefing from the CGO.
The GBSM will also keep abreast of key events in the CGO's calendar and take the initiative to ensure that the CGO and other attendees are fully prepared, with the right documents and information. This may involve the collation and analysis of information and preparing supporting documentation and presentations as required.
Whilst the Executive Office / PA will handle general diary management for the CGO in addition to organising travel, managing the logistical arrangements for meetings and events and handling routine correspondence, the GBSM will also act as their ‘gatekeeper' and may be asked to handle confidential and sensitive materials, as well as those that require analysis before composing detailed responses.
Key Accountabilities:
• Support the efficiency and performance of the CGO and Growth function within First Bus:
o In conjunction with the Executive Office / PA, ensure the smooth running of schedules and optimum effectiveness of the CGO's time linked to the strategic priorities
o Responsibility for the timely preparation of meeting materials, including research, analysis and design where appropriate; and the production of presentations, correspondence and reports as required.
o Attendance at meetings to facilitate, follow up on actions and take the minutes where required, acting as a ‘stand-in' for the CGO as appropriate
o Act as the CGO's confidant and be their ‘eyes and ears'; and anticipate their needs and follow through accordingly
o In conjunction with the Executive Office / PA, support corporate events and event organisation as required.
o Provision of support, as required, for Growth SLT roles.
• Develop project management within the growth function:
o Collaborate with the CGO and Growth SLT (consisting predominantly of direct reports to the CGO) to define, prioritise, and develop projects
o Liaise with the First Bus Strategy and Transformation function to coordinate Growth function actions on broader projects and change programmes
o Ensure portfolio planning, governance and execution is effective, so that the right change is being delivered in the right way at the right time
o Ensure programmes and projects are providing value to the business by tracking outcomes, benefits and costs
o Maintain the transformation roadmap
• Lead and manage the key processes:
o Planning and prioritisation, resource management, financial management, risk management, business case management, and benefit realisation management
o Drive the bedding-in of new project and portfolio management processes and tools within the business
o Lead the development and improvement of Portfolio Management and Governance tools and frameworks
o Ensure communication to senior management, colleagues, and communities-of-practice in relation to the projects is clear, targeted, appropriate, and understood
o Define and establish a suitable reporting framework for managing the portfolio
Skills, Experience and Behaviours required
• Demonstrable experience in an ‘executive assistant' / support role with an innate ability to see problems before they arise and deal with them appropriately and quickly
• Exceptional organisation and time management skills, with a high level of flexibility and adaptability.
• Ability to multi-task, prioritise and work under pressure / to tight deadlines.
• Able to operate with complete discretion given the role will be one with significant access to confidential and commercial information.
• Able and willing to operate at both an operational and strategic level
• Commercially astute, emotionally intelligent; and an effective networker and communicator with the ability to quickly forge strong working relationships at all levels and build trust
• Acts with a high degree of diplomacy and professionalism and the ability to progress tasks with minimal direction
• Highly motivated with the ability to work autonomously as well as part of a team.
• Advanced IT skills with proficiency in all Microsoft packages.
• Demonstrable experience (3-5 years) of executive support and project/portfolio management, including providing portfolio assurance and governance
• An understanding of franchsising bidding processes and frameworks, preferably in a transport, FM, outsourcing contract services provider
• Sound knowledge and experience of best practice on key transformation subjects (e.g. delivery methodology and tools; change management techniques and approaches; process design; operating model changes etc.)
• Proficient in the development and presentation of detailed business cases
• Expert understanding of, and approach to, benefits management – from strategy to realisation
• Strong analytical skills, attention to detail and a logical and methodical financial approach
• Excellent stakeholder management skills, capable of engaging, challenging, negotiating, and influencing at all levels
• Confident and capable in facilitating workshops and delivering strategic presentations and plans to colleagues at a senior level
• Experienced in driving performance and team spirit, used to managing conflicting priorities with multiple functions and able to co-operatively find solutions
• Proven track record of persuading others to embrace new ways of operating and thinking about the business
• A recognised project management qualification is desired but not essential (e.g. Management of Portfolios (MoP), PRINCE2 Practitioner; MSP: APMP/PQ level, agile certification)
