Gategroup is seeking a Global WFM Specialist to join its People Digitalization team who will be responsible for optimizing the UKG Pro WFM (aka UKG Kronos) system, providing support to global users through the ticketing tool and driving execution of global WFM projects. The successful candidate will be responsible for the administration, configuration and maintenance of the application, it’s integration with HCM, labor planning, local payroll systems and other operational planning and reporting systems. When required, support global implementation and integrations projects, ensuring stakeholder engagement and aligning project objectives with business and People Digitalization strategy. The Global WFM Specialist will work closely with Regional SMEs, HR, Operations teams and external vendors.

Main Duties and Responsibilities:

  • Collaborate with internal stakeholders to gather and analyze requirements and translate them into system functionalities and design solutions to meet business needs, facilitate system integrations.
  • Provide 3rd level functional support on resolving WFM applications performance and configuration issues, data errors and process flaws, troubleshoot time clocks issues, high impact incidents, outages of WFM applications application errors and change requests through the internal ticketing system. Collaborate with system vendors and external AMS providers for 4th level support.
  • Ensure stakeholder engagement and alignment with business and People Digitalization strategy.
  • Provide ongoing support to system users by delivering trainings on new features and enhancements, adoption of new processes, effective utilization of application functionalities, through sharing best practices and preparing training materials.
  • Manage existing application reports, create new reports, dashboards, tables based on the business requirements. Ensure system and data integrity by integrating system reports and alerts to verify data reliability, conduct and facilitate system testing, identify discrepancies, and establish improvement plans.
  • Perform and communicate routine activities such as WFM application upgrades and audits to internal stakeholders.
  • Maintain documentation of application enhancements, including configuration requirements, functional and technical specification. Align with Global IT to develop technical requirements.
  • Perform feasibility studies and provide estimations, recommended solutions, or alternate methods to meet the business requirements. Recommend process improvements.
  • Complete other duties and projects as requested by the management.

Qualifications

Education:

  • University graduate with major in Business Information Systems, Information Technology, Computer science, Economics, Human Resources, Mathematics, Statistics or similar.
  • Strong English skills - verbal and written, other languages are a plus.

Work Experience:

  • Previous experience of UKG Pro WFM (UKG Kronos, eTime) working at the global companies, familiarity with application functionalities and reports.
  • Knowledge of business processes and business structures in UKG Pro WFM.
  • Proven experience in project management, change management, stakeholder engagement, or related roles.
  • Experience with Workday and Workday Time tracking applications is an advantage.
  • Knowledge of Power BI is a plus.

Skills & Knowledge:

  • Excellent computer skills (e.g., Excel, Word, PowerPoint, SharePoint, video content creation software, etc.)
  • Strong expertise, understanding of WFM processes and integrations between HRIS, T&A and payroll systems.
  • UKG WFM certifications are a plus.
  • Proactive team player that can work independently with minimum supervision.
  • Ability to manage multiple assignments and timelines, identify project interdependencies, resource needs and potential risks.
  • Strong work ethics and ability to work under pressure, while delivering business results.
  • Strong communication skills, ability to build relationships, motivate and collaborate with internal and external stakeholders.
  • Detail oriented problem solver.

Other:
