Bookkeeper (part time - 8 hours per week- salary £7,000 p.a.)

Courtlands Estate (Richmond) Limited ('Courtlands')

Overview

Courtlands comprises 238 residential flats in 11 buildings and 3 garage blocks, on a site of over 11 acres. Flats are predominantly owner occupied but there is also a significant number of rented flats. The site includes off street parking, and substantial landscaped gardens. Courtlands also owns and manages a portfolio of rental properties on the estate.

Courtlands is owned by its leaseholders and is governed by a Board of Directors appointed by them. The Board delegates day-to-day management to an Operations Manager, but takes an active interest in key decisions and strategies. The Operations Manager reports to the Board. Two full time maintenance personnel and one administration assistant report to the Operations Manager. A part-time Finance Manager also reports to the board. The Bookkeeper reports to the Finance Manager.

Main Responsibilities

  • The management and safekeeping of the company’s books of account.
  • Maintain the company’s SAGE ledger to Trial Balance stage. This includes:

a) process all purchase invoices; set up and process supplier payments

b) process all leaseholder service charge and sundry sales invoices; process all customer receipts

c) ensure that all debtors are collected on time and if not, chase customers for payment

d) process all transactions from the company’s credit card and petty cash

e) process all other bank transactions (e.g. bank charges, interest, payments by Direct Debit)

f) reconcile bank accounts in the SAGE ledger to bank statements on a monthly basis. The company currently has 10 bank accounts.

g) review and reconcile all 'control’ accounts, principally debtors and creditors, on a monthly basis

h) review all ledger accounts for reasonableness to ensure that other users of SAGE have accurate information

i) make and/or process any other accounting journals or adjustments as appropriate or as directed by the Finance Manager

j) ensure a 'clean’ Trial Balance at each quarter end to support the Finance Manager in the preparation of quarterly management accounts.

k) carry out other SAGE admin functions

l) support the Finance Manager in any other ad hoc book-keeping / accounting tasks, principally using SAGE and EXCEL

m) consider any enhanced use of SAGE to improve the efficiency of the company’s accounting function

Key competencies

  • Excellent basic bookkeeping skills;
  • Strong competency in SAGE bookkeeping systems
  • Strong competency in the use of Excel and Word; some knowledge of Powerpoint
  • Strong attention to detail
  • An ability to work within a small friendly team, where good personal inter-action is important.
