Description#internalPlease note this vacancy is only available to Birmingham City Council employees.Voids and Lettings OfficerPermanentGrade 4 - 34434 to 41771Consultation grade - subject to formal evaluation under the Pay Equity ReviewWorking 36.5hrs hours per weekKey Duties and Responsibilities:Void Property Management:Oversee the entire voids process from notice to re-let including conducting pre-termination inspections identifying required repairs and coordinating with the Repairs and Maintenance Teams to ensure timely and high-quality void turnaround.Lettings Coordination:Manage the letting of properties in line with the Birmingham Choice Scheme and council policies. Conduct pre-tenancy interviews property viewings sign-ups and ensure all compliance documentation (Gas Safety EPC Electrical Certificate etc.) is completed before tenancy commencement.Lead on Move-Out Visits:Act as the lead officer for conducting end-of-tenancy visits. Assess property condition retrieve meter readings collect keys and record any rechargeable works ensuring a smooth transition into the void process.Furniture Recycling Project Management:Lead on the coordination of the councils Furniture Recycling Project by identifying reusable items during inspections organising collections and clearances liaising with recycling partners and contributing to sustainability and cost-efficiency objectives.Supervision of Assistant Housing Officers (Grade 3):Provide day-to-day supervision support and performance oversight of Assistant Housing Officers based across three sites: College Road (North/West) Kings Road (East) and Stonebrook Way (South). Responsibilities include conducting regular 1:1s performance appraisals return-to-work interviews and attendance and capability management in accordance with Birmingham City Councils Managing People policies and procedures.Multi-Site Working:The postholder will be required to work flexibly across the three housing offices listed above. As such the ability to travel between sites efficiently is essential and it is preferable that the postholder is a driver with access to a vehicle.Performance and Service Delivery Monitoring:Ensure personal and team contributions meet service-level agreements and key performance indicators (KPIs) particularly around void turnaround times refusal rates and tenancy sustainment.Affordability and Tenancy Sustainment:Carry out affordability checks identify vulnerabilities and make appropriate referrals or signposting to tenancy support income maximisation and welfare advice services.Multi-agency Working:Work collaboratively with internal departments (e.g. Housing Management Income Recovery Adaptations) and external agencies (e.g. social care support providers) to address complex cases and support successful tenancy outcomes.Complaint Handling and Customer Service:Respond to customer complaints queries and feedback in a professional and timely manner. Promote a customer-first culture ensuring that tenant engagement is central to service delivery.Safeguarding and Risk Assessment:Identify safeguarding concerns during interactions and ensure appropriate referrals are made. Undertake risk assessments for vulnerable applicants and liaise with safeguarding leads as necessary.CORE and Data Management:Accurately complete CORE lettings data and maintain high standards of record keeping on the housing management system to support auditing compliance and performance tracking.Policy Compliance and Legal Awareness:Work in accordance with relevant housing legislation and council policies including the Housing Acts Localism Act Health and Safety obligations Equalities Act and GDPR.Team Collaboration and Contribution:Participate in team meetings service reviews and development activities. Support colleagues and deputise where necessary to maintain continuity of service.Flexibility and City-Wide Coverage:Be mobile and willing to travel across the city as required.
