Introduction

HuntingdonParish is seeking to appoint a Parish Administrator to support theVicar, Staff Team and Trustees by fulfilling a diverse range ofadministrative and clerical tasks.

Therole will be based in All Saints Church, Market Hill, Huntingdonwith ad-hoc working at other Parish locations and the option forsomehomeworking.

  • Part-timerole: 16-20 hours per week depending onthe candidate, ideally with some hours worked each day Monday toFriday, subject tonegotiation
  • Salary:£21,480 per annum, pro rata to £9,984.00 for 16 hours or £12,480.00for 20 hours (hourly rate£12.00/hr).
  • Contractterm: permanent, subject to satisfactory completionof a probationary period

Responsibilities

Therole will support the activities of the Parish through a range ofadministration/clerical activities, including but not limitedto:

  • Bookkeeping: The Parish uses theXero accounting package. The role will enter up supplier purchaseorders and raise customer invoices as required, creating accountsas necessary.
  • Bookings including Life Events(Weddings, etc.). The role will be the first point of contactfor these enquiries, managing the contracting, management andinvoicing of the bookings. Note we support Parish Room/StMarys Church Hall/Archdeaconry Library with their bookings, andthey have a manual invoicingsystem.
  • Communications: The role will supportthe outbound communications from the Parish via mail, e-mail,website and social media. This will include the production ofregular communications, e.g. weekly what's-on e-mail, newsletters,etc. as well as ad-hoc communications. Note we are in theprocess of updating our website and the role will actively supportthis.
  • Diary Support: The role will support theVicar with organising his appointments, as well as management ofpublic facing calendars of services andevents.
  • Filing/Records Management: The rolewill be responsible for the filing of correspondence and otherrecords.
  • General Enquiries. The Parishreceives a range of queries from the public and itscommunity. The role will be the first point of contact forthese enquiries and will manage them to resolution or handover toanother member of the team.
  • Reporting: Therole will support the team in the collection and collation ofinformation required for reporting (e.g. Statistics forMission).

We are continually lookingat how we improve our processes and systems so there will beopportunities for the role to work with the Operations Manager onthese improvements, e.g. use of products in Xero to automateinvoice production.

Attributes andCompetencies

  • The personmust be comfortable in working in a proactive Christianenvironment.
  • The person must be comfortabledealing with the public in person, by phone and different forms ofelectronic communication.
  • An ability to treatinformation received in strictestconfidence.
  • Competence with Microsoft Officeproducts (Outlook, Word, Excel) and other cloud services (e.g.Xero) would be beneficial, though training will beprovided.

The role will be subject toa DBSCheck.

Appointment

Therole will be based in All Saints Church, Market Hill, Huntingdon,PE29 3NR with ad-hoc working at other Parish locations and theoption for some homeworking.

The role will reportto the Vicar with a secondary management/support line to theOperations Manager.

Occasional out of officehours working may be required (e.g. to act as Secretary to meetingsthat cannot be scheduled during the day). This will becompensated with Time off in Lieu.

Theappointment is a permanent appointment and is for 16-20 hours perweek depending on the candidate, ideally with some hours workedeach day Monday to Friday subject tonegotiation. 

The salary is £21,480 perannum, pro rata to £9,984.00 for 16 hours or £12,480.00 for 20hours (hourly rate £12.00/hr).

The annual paidholiday entitlement is 25 days (pro-rata),  excluding public /bank holidays.
