AJ Chambers is partnered with a Top International Law Firm based in the City of London who are seeking a Team PA to support the BD & Marketing team on a 12 month FTC.

The Business Development & Marketing team partners with the firm in the development of their business, builds relationships with existing and potential clients and also manages the market profile. In broad terms, the team:

  • Manages relationships with the media and seeks out the most appropriate opportunities;
  • Drives the positioning of the brand through client service and thought leadership;
  • Creates and manages the strategic business plans at a client, partner, sector and practice group level;
  • Manages the firm’s key client relationship and client listening programmes;
  • Creates and implements the firm’s digital strategy;
  • Provides strategic advice and co-ordination on pitching opportunities and manages the rehearsals process;
  • Works with the research team to produce and analyse companies, sectors and countries;
  • Works with the knowledge team on submissions to the main legal directories/awards and advises practices on how best to promote their capabilities;
  • Manages the production of bulletins and briefings from the conceptual stage through to distribution; and
  • Delivers events that enhance our brand and provide opportunities to build relationships with clients, potential clients, intermediaries and the press.

There are c. 50 employees in the Business Development and Marketing team across London, Guildford, Cheltenham, Dubai, Hong Kong and Paris and it is divided into three key areas:

  • Business Development and Relationships;
  • Marketing; and
  • Communications.

The role of the Team PA is a key role within the BD & Marketing team and the successful candidate should have a solid sense of how the department is run and understand the goals and objectives of the BD & Marketing team. The Team PA must be highly organised and driven, whilst having a strong track record in providing senior level support in an emotional intelligence way.

Roles & Responsibilities:

  • Providing an effective administrative service to the Director of BD & Marketing and Heads of teams and the wider team
  • Meeting scheduling and diary management
  • Providing necessary documentation in a timely, efficient way for internal and external meetings
  • Taking minutes of meetings, where necessary
  • Liaising with internal and external person/s for all meeting logistics including venue, attendance, refreshments and the distribution of materials
  • Managing travel including visas and itineraries, where applicable
  • Processing invoices, purchase orders and expense claims in a timely manner
  • Help prepare and administer Marketing budgets
  • Taking ownership and maintaining the BD & Marketing intranet pages, ensuring content is kept up to date and accurate
  • Assisting with ad hoc administration and providing support to major BD&M projects
  • Providing ad hoc support to firm events
  • Attending team meetings to share information and have clarity on future actions
  • Managing team social events
  • Creating PPT presentations to support internal meetings
  • Regular reporting, using various templates, on team activities and priorities
  • Track team deadlines and assist with delivery to tight timescales.
  • Comply with all relevant legal and regulatory obligations including the Solicitors Regulation Authority (SRA) Standards and Regulations, and Principles.

Skills & Experience:

  • Proven secretarial and team assistant experience - minimum of 1 year
  • Experience working with a team of high-achieving individuals who work in a pressured environment
  • Preferably experience working in a large international organisation
  • Microsoft office applications - Word, Excel, PowerPoint (to intermediate level)

  • Exceptional level of professional discretion and political savvy, with good judgement and ability to navigate and influence multiple senior stakeholders
